What You’ll Be Doing
As an Operations Support Specialist, you will play a key role in ensuring customer orders are processed accurately and on time, stock data is maintained correctly, and customer returns and credits are handled efficiently across multiple systems and retail channels.
Sales Orders & Order Processing
Key Activities- Key all customer orders within KPI timeframes, including large corporate customers (e.g. Amazon)
- Monitor and process EDI orders in line with operational KPIs
- Manage forward orders to ensure correct shipping and delivery dates are maintained
- Work closely with the sales team to update special pricing within systems
- Update and manage stock levels across Toolstation and Shopify
- Invoice Shopify orders and ensure tracking information is correctly added
- Update tracking information across Toolstation and B&Q systems
- Monitor delivery tracking and check for errors on the DPD portal
- Push and adjust dates on open orders where required
- Send NPS links and support collection of customer feedback
- Handle price requests and customer questionnaires (including FAQ documentation updates)
Customer Returns & Credits
Key Activities- Raise customer return documentation for faulty and non-faulty goods
- Arrange collection of goods where required
- Process and raise credit notes for returns, pricing issues, and non-delivery cases
- Ensure returns are accurately recorded, tracked, and closed in systems
- Work with internal teams to resolve discrepancies related to returns and credits
Operational Coordination & Support
Key Activities- Act as a key point of contact for order status and operational queries
- Coordinate with sales, warehouse, and logistics teams to ensure smooth order fulfilment
- Monitor shipping updates and resolve delivery discrepancies
- Support continuous improvement of operational workflows and processes
- Assist in maintaining accurate system data across platforms
- Experience in operations support, order processing, customer service, or similar roles
- Strong attention to detail and high level of accuracy
- Ability to manage high-volume, fast-paced operational environments
- Confident communication skills for internal and external stakeholders
- Experience with ERP, EDI, or e-commerce platforms (advantage)
- Strong organisational and time management skills
- Ability to work under pressure and meet deadlines
- Proactive, problem-solving mindset with strong follow-through
- Willingness to work Australasian, North American, or UK shift hours
- Willingness to work in or relocate to Angeles City, Pampanga
