Job Title: Financial Controller & Operations Specialist
Location: Remote – (LATAM preferred)
Salary Range: 2000 to 3000 USD/month
Work Schedule: Monday – Friday, U.S. Eastern Time overlap required

Position Overview:

The team is seeking a highly detail-oriented Financial Controller & Operations Specialist to oversee accounting operations, compliance processes, reconciliations, and financial administration while supporting key operational workflows across the business.

This is a hands-on accounting and financial operations role within a growing SMB environment. The ideal candidate is highly organized, process-driven, and experienced in managing day-to-day accounting functions with minimal oversight.

You will play a key role in maintaining accurate financial records, supporting compliance initiatives, improving financial systems, and helping the business operate efficiently behind the scenes.

This role is best suited for someone who enjoys ownership, structure, operational consistency, and high-quality execution.

Key Responsibilities:

Accounting & Financial Operations:

  • Manage day-to-day accounting operations and maintain accurate financial records.
  • Perform monthly bank and credit card reconciliations.
  • Support month-end close processes and financial reporting.
  • Maintain audit-ready books and proactively identify discrepancies.
  • Assist with expense auditing and cost-control initiatives.
  • Support the migration from Sage Desktop to QuickBooks Online.
  • Assist in implementing ACH payment workflows for receivables.
  • Track and maintain operational and financial KPIs.

Compliance & Payroll Administration:

  • Support compliance across payroll, IFTA reporting, business licenses, and personal property taxes.
  • Coordinate payroll-related processes using Gusto.
  • Maintain accurate reporting and compliance documentation.
  • Work alongside external accountants or tax professionals when needed.

Administrative & Operational Support:

  • Maintain customer account records and CRM accuracy.
  • Support title paperwork processing and administrative documentation.
  • Assist with operational coordination and workflow organization.
  • Help improve process consistency and internal documentation.

Qualifications:

  • 4+ years of accounting, bookkeeping, financial operations, or controller-level experience.
  • Strong understanding of U.S. GAAP accounting principles.
  • Advanced QuickBooks Online experience.
  • Experience with monthly reconciliations and maintaining audit-ready books.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to work independently in a fast-paced SMB environment.
  • Strong written and verbal English communication skills.

Nice-to-Haves:

  • Experience migrating from Sage Desktop to QuickBooks Online.
  • Familiarity with Gusto payroll administration.
  • Experience supporting U.S.-based SMBs or founder-led businesses.
  • Exposure to IFTA reporting, payroll tax compliance, business licenses, or multi-entity compliance.
  • Experience in towing, automotive, logistics, transportation, or field-service industries.
  • Familiarity with CRM systems and operational record maintenance.
  • Experience improving accounting or operational workflows/processes.
