Role Summary:
The Institutional Sales Support Associate is a vital contributor to the growth of ATRAM’s institutional business. This role provides comprehensive operational, administrative, and compliance support to the Institutional Sales and Business Development team.Key responsibilities include assisting with sales activities, account opening, compliance checks, project coordination, data management, and digital platform migration. The position also ensures that sales leaders meet their objectives, delivers exceptional service to clients and internal stakeholders, and enhances ATRAM’s market presence through strategic data initiatives.
This role is designed as a pathway to a more sales-focused position, contingent on the associate’s performance and demonstrated potential. The transition timeline is driven by results rather than a fixed schedule.
Main duties and responsibilities:
- Sales and Business Development Support
- Collaborate with the sales lead—primarily the Institutional Lead, and occasionally the Wealth Sales Lead—to ensure a smooth onboarding process for new institutional clients, guaranteeing that all account opening documentation and procedures adhere to regulatory and internal standards.
- Support the preparation of sales pitches and tailored presentations to drive the acquisition of new clients and business opportunities.
- Provide timely and accurate assistance in responding to client inquiries, acting as a reliable support resource.
- Assist with lead generation efforts and the creation of impactful presentation materials to enhance sales activities.
- Data Management and Platform Integration
- Manage and maintain accurate prospective client data, including essential information,and research insights, ensuring timely updates in relevant systems and seamless accessibility for key stakeholders.
- Migrate institutional client data to appropriate platforms to streamline processes and enhance ATRAM's visibility.
- Identify opportunities to utilize data for expanding ATRAM's exposure and improving client targeting strategies.
- Partner with internal teams to implement best practices for investment solutions, data security, integrity, and compliance.
- Project Management and Coordination
- Provide project management support for initiatives such as product evaluation and launches, client events, and investment education forums.
- Ensure all planned projects align with business goals, coordinating with internal departments to meet timelines and quality standards.
- Conduct preliminary compliance checks on client documentation, ensuring adherence to all regulatory requirements.
- Support the Institutional Sales team by maintaining updated records and facilitating regular compliance reviews.
- Deliver high-quality, customized client reports and ensure timely communication of investment updates.
- Manage timely responses to requests from clients, ensuring prompt and accurate execution.
- Partner with internal teams to streamline processes and support digital transformation efforts to improve operational efficiency of the team.
Competencies required:
- Detail Orientation: Strong organizational skills with a meticulous approach to managing intricate tasks.
- Data Proficiency: Foundational skills in data management, migration, and effectively utilizing CRM platforms for both operational and strategic objectives.
- Process Efficiency: Keen attention to detail and proven ability to streamline and manage complex workflows.
- Technical Expertise: Proficiency in Microsoft Office tools, particularly Excel, PowerPoint, and Canva; familiarity with data migration tools is an advantage.
- Compliance Awareness: Understanding of regulatory requirements within financial services and asset management.
- Project Management: Proven ability to coordinate cross-functional initiatives, ensuring timely delivery and alignment with objectives.
- Adaptability: Highly flexible and responsive to the evolving needs of diverse partners and decision-makers.
Education and experience required:
- Bachelor’s degree in business administration, finance, marketing, data science, or a related field.
- At least 2–3 years of experience in financial services, data management, project management, or business operations.
- Proficiency in CRM platforms and digital automation processes; experience in data migration is a plus.
- Strong verbal and written communication skills, with a customer-focused mindset.
