Schedule: Morning Shift

Job Description:

The role of Maintenance Coordinator will assist the National Workshop Manager by centralising administrative tasks for all staff. As the Maintenance Coordinator, you will oversee the coordination of the company’s heavy vehicle fleet and assets nationally, ensuring compliance with legislative regulations.

Your responsibilities include managing work orders and purchase orders for servicing and repairs in these regions, as well as ensuring national fleet registration compliance in collaboration with finance. Crucially, you will coordinate insurance and accident

management, involving communication with insurers and third-party providers.

Key Responsibilities:

  • Providing full administrative support to the National Workshop Department
  • Work collaboratively with the National Workshop Manager and National Fleet Manager
  • Maintain daily phone communication with stakeholders, demonstrating strong professionalism and phone etiquette
  • Collaborate with stakeholders to minimise downtime and ensure equipment is returned to service as quickly as possible
  • Coordinate services, repairs, and defect resolution with Operations, Workshop teams, and external suppliers
  • Audit, review, and invoice workshop jobs, ensuring accuracy and completion within required timeframes
  • Ensuring all work orders are created, maintained, and completed in Freight 2020 on time
  • Create and control all maintenance-related Purchase orders on time
  • Maintain Fleet Asset folders
  • Carry out Monthly Maintenance audit
  • Ensure maintenance-related costs are being allocated to the correct GL cost account
  • Coordinate and carry out all Workshop Office Administration, including answering/emailing suppliers' queries and calls
  • Maintain filing requirements
  • Ensure that all Maintenance operations are conducted in accordance with safety and compliance Policies.
Procedures and applicable Work Instructions
  • Carry out any other duties which are reasonably expected and directed by the National Maintenance Manager and or National Fleet Manager
  • Work in line with company values
  • Weekly Accident and incident data to be collated and circulated
  • Weekly checks of fleet registration and advise to the National workshop Manager and the National Fleet Manager
  • Defect management and reporting
  • Manage non-conformance reporting relating to workshops and fleet
  • Various monthly reporting requirements, including NHVAS, insurance, etc.

Qualification and requirements:

  • Demonstrated communication and interpersonal skills with the ability to produce clear and accurate communications that are appropriate for their intended audience.
  • Understanding of National Heavy Vehicle Regulations and associated legislation
  • Have a strong HSE culture within the team and wider business
