Sales Operations & Procurement Coordinator (WFH and Night Shift)

JOB RESPONSIBILITIES

Quoting & Sales Operations Support
  • Build and maintain accurate quotes and Bills of Materials (BOMs)
  • Enter and update quote information in PSA and quoting systems
  • Validate pricing, quantities, and scope alignment before order processing
  • Ensure all quotes are complete and accurate prior to order submission
Vendor Order Management & Procurement Support
  • Coordinate with vendors and distributors for pricing and quotations
  • Validate product availability, pricing, and lead times
  • Prepare purchase orders for internal review and approval
  • Track vendor confirmations and monitor fulfillment timelines
Order, Inventory & Asset Coordination
  • Track orders from placement through delivery completion
  • Maintain accurate inventory, asset, and equipment records
  • Coordinate shipping schedules and internal operational handoffs
  • Monitor order progress and provide status updates when needed
Process & Documentation
  • Maintain organized and accurate records of quotes, pricing, and orders
  • Follow established workflows, documentation standards, and checklists
  • Identify discrepancies, delays, or operational risks proactively
  • Support process improvement initiatives for operational efficiency
QUALIFICATIONS
  • Strong organizational and administrative coordination skills
  • Experience in sales operations, procurement, logistics, or vendor coordination
  • Excellent attention to detail and accuracy in documentation
  • Ability to manage multiple tasks and deadlines efficiently
  • Strong communication and follow-up skills with internal teams and vendors
  • Proficient in Microsoft Office, spreadsheets, and operational systems
  • Comfortable working in a structured and process-oriented environment
  • Ability to work independently in a remote setup
