About the Role

Our client is seeking a highly organized, detail-oriented Billing and Finance Administration Specialist to support the firm’s core billing and finance operations. This role is focused exclusively on billing, invoicing, receivables, and finance administration.

It is designed for a strong finance operations professional who can manage billing workflows accurately, support collections and reporting, and maintain reliable financial records in a remote environment.

What you’ll do
  • Billing and Invoice Administration
  • Prepare, review, and issue client invoices accurately and on schedule
  • Maintain organized billing records across matters, clients, and billing cycles
  • Track invoice statuses and follow through on billing completion timelines
  • Coordinate with internal stakeholders to resolve billing queries, clarifications, and adjustments
  • Support work-in-progress (WIP) tracking and billing summaries
  • Ensure billing documentation is complete, accurate, and aligned with internal processes
  • Accounts Receivable and Credit Control
  • Monitor outstanding invoices and aged receivables
  • Follow up on overdue invoices through professional written communication
  • Maintain an accurate collections log and payment tracking records
  • Escalate overdue accounts as appropriate
  • Assist in reconciling payment records and resolving billing discrepancies
  • Finance Administration and Reporting
  • Support expense tracking and other finance-related administrative tasks
  • Maintain accurate digital records for invoices, payments, and supporting documents
  • Prepare recurring billing and finance reports for leadership review
  • Coordinate with external accountants or finance providers when needed
  • Support the ongoing improvement of billing and finance workflows
What You Bring
  • At least 3 years of experience in billing, finance administration, accounts receivable, legal billing, or related finance operations roles
  • Experience in UK legal services or similar professional services in a regulated environment is highly preferred
  • Exposure to UK regulatory, compliance, or professional services operating standards is considered a strong advantage
  • Strong understanding of invoicing, billing coordination, receivables, and finance administration processes
  • Experience with accounting or billing platforms such as Xero, Clio, QuickBooks, or similar systems is an advantage
  • High proficiency in Microsoft Excel, Outlook, and cloud-based work tools
  • Excellent written and verbal English communication skills
  • Strong attention to detail and accuracy in handling financial information
  • Ability to work independently, manage priorities, and meet deadlines in a remote setting
  • Professional, reliable, and capable of handling confidential information with discretion
  • Must be comfortable working with overlap to UK business hours
  • Stable internet connection and a professional remote work setup are required
