HR Employee Relations Specialist

Role Purpose

The Employee Relations Specialist exists to support and maintain a fair, compliant, and positive work environment by assisting in handling employee relations concerns, conducting administrative investigations, and ensuring consistent implementation of company policies and disciplinary procedures.

This role is responsible for supporting employee case management through proper documentation, due process, and coordination with relevant stakeholders.

Key Responsibilities & Duties

Employee Relations Case Management:

  • Assist in handling employee relations cases involving misconduct, attendance, behavioral concerns, and policy violations.
  • Conduct initial fact-finding, case documentation, and administrative support for investigations.
  • Prepare and review NTEs, RTWOs, disciplinary notices, and other ER-related documents.
  • Ensure compliance with company policies, labor standards, and due process requirements.
  • Maintain organized and confidential employee relations records and case files.
  • Assist in preparation of documents and attendance in administrative hearings, conciliation meetings, and labor-related proceedings.

Employee & Management Support:

  • Serve as a point of contact for employee case-related concerns and policy clarifications.
  • Coordinate with managers regarding disciplinary actions, case handling, and employee relations matters.
  • Assist in administrative hearings, mediation discussions, and case conferences when necessary.
  • Provide support in ensuring proper documentation and timely follow-through of employee cases.

Policy Compliance & Risk Management:

  • Support monitoring of compliance with company policies and code of conduct standards.
  • Identify recurring employee concerns or policy-related risks and escalate appropriately.
  • Escalate sensitive or high-risk cases to HR leadership as needed.
  • Ensure completeness and accuracy of employee relations documentation for audit readiness.

Data Analytics and Reporting:

  • Maintain trackers and reports related to employee relations cases and disciplinary actions.
  • Assist in monitoring case trends and preparing case summaries or reports.
  • Support HR leadership in gathering data and documentation related to employee relations matters.

Qualifications & Competencies

Required Knowledge & Skills:

  • Bachelor's degree in Human Resources, Psychology, Business Administration, or related field.
  • Fresh graduates are welcome to apply; experience in HR, employee relations, admin support, or internship exposure is an advantage.
  • Basic understanding of labor standards, due process, and employee relations processes.
  • Strong documentation, organization, and coordination skills.
  • Proficiency in Google Workspace and willingness to learn HR systems/tools.
  • Ability to handle confidential matters professionally.
