We are looking for a highly organized, proactive, and dependable Executive Assistant & Operations Coordinator to directly support the General Manager in both executive-level administrative functions and day-to-day operational coordination.
This role goes beyond traditional executive assistance and includes external coordination, facilities liaison, and representation responsibilities across multiple business activities.
Key Responsibilities
Executive Support- Provide high-level administrative support to the General Manager
- Manage calendars, meetings, appointments, and scheduling priorities
- Prepare reports, presentations, and business correspondence
- Track tasks, deadlines, and ensure timely execution of action items
- Handle confidential information with professionalism and discretion
- Assist in overseeing day-to-day business operations and coordination across teams
- Support project tracking, execution, and cross-functional alignment
- Ensure smooth communication between departments and stakeholders
- Represent the company on behalf of the General Manager for assigned matters
- Coordinate with condominium/building administrators for unit rentals, access, and compliance requirements
- Handle utilities-related concerns including billing coordination, service requests, and issue resolution
- Liaise with property management and building administration to ensure operational continuity
- Monitor and follow up on facilities-related concerns affecting business operations
- Bachelor’s degree in Business Administration, Management, or related field
- At least 2–3 years of experience as an Executive Assistant, Operations Coordinator, or similar role
- Strong organizational, multitasking, and coordination skills
- Excellent written and verbal communication skills
- Proficient in Microsoft Office and/or Google Workspace
- Ability to represent the company professionally in external engagements
- High level of integrity, accountability, and attention to detail
- Able to work independently in a fast-paced environment
- Full-time, permanent position
- May require occasional on-site visits for coordination with building administrators or operational concerns
