Full-Time | Permanent Role

We are looking for a highly organized, proactive, and dependable Executive Assistant & Operations Coordinator to directly support the General Manager in both executive-level administrative functions and day-to-day operational coordination.

This role goes beyond traditional executive assistance and includes external coordination, facilities liaison, and representation responsibilities across multiple business activities.

Key Responsibilities

Executive Support
  • Provide high-level administrative support to the General Manager
  • Manage calendars, meetings, appointments, and scheduling priorities
  • Prepare reports, presentations, and business correspondence
  • Track tasks, deadlines, and ensure timely execution of action items
  • Handle confidential information with professionalism and discretion
Operations & Coordination
  • Assist in overseeing day-to-day business operations and coordination across teams
  • Support project tracking, execution, and cross-functional alignment
  • Ensure smooth communication between departments and stakeholders
External Representation & Liaison
  • Represent the company on behalf of the General Manager for assigned matters
  • Coordinate with condominium/building administrators for unit rentals, access, and compliance requirements
  • Handle utilities-related concerns including billing coordination, service requests, and issue resolution
  • Liaise with property management and building administration to ensure operational continuity
  • Monitor and follow up on facilities-related concerns affecting business operations
Qualifications
  • Bachelor’s degree in Business Administration, Management, or related field
  • At least 2–3 years of experience as an Executive Assistant, Operations Coordinator, or similar role
  • Strong organizational, multitasking, and coordination skills
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office and/or Google Workspace
  • Ability to represent the company professionally in external engagements
  • High level of integrity, accountability, and attention to detail
  • Able to work independently in a fast-paced environment
Work Arrangement
  • Full-time, permanent position
  • May require occasional on-site visits for coordination with building administrators or operational concerns
  • Supports multiple business functions and executive priorities
