Job Description:
We are looking for a highly proactive and detail-oriented Virtual Assistant to join our short-term rental team. This role is essential to providing an exceptional guest experience and supporting the smooth operations of our 230+ rental properties.The ideal candidate thrives in a fast-paced environment, anticipates guest needs, and consistently demonstrates accuracy, timeliness, and hospitality-focused decision-making.
Schedule:
- 4 days on / 3 days off (typical off days: Tues/Wed/Sat; may vary)
- 11-hour shifts with 1-hour lunch and two 15-minute breaks (9.5 working hours)
- Must have prior experience with overnight or late-night shifts and the ability to remain alert, engaged, and proactive throughout the shift
Key Responsibilities:
- Monitor and respond thoughtfully and accurately to guest messages across Airbnb, Vrbo, and direct booking platforms, including handling inbound and outbound calls when needed.
- Handle booking modifications, calendar updates, and availability management in PMS systems.
- Coordinate with housekeeping, maintenance, and other operational teams to ensure timely turnovers and issue resolution.
- Anticipate guest needs, identify patterns, and proactively resolve potential issues before they arise.
- Follow SOPs and internal documentation meticulously to ensure accuracy and efficiency.
- Maintain organization, track follow-ups, and double-check work to prevent errors.
- Manage multiple tasks in a fast-paced environment while maintaining a guest-first mindset.
- Use tools including Breezeway, Slack, OpenPhone/Quo, Gmail, Excel, and other relevant systems.
Qualification and requirements:
Must-Have Qualifications:
- Minimum 2 years of direct experience managing Airbnb and Vrbo guest communications and operations.
- Proven ability to work independently and proactively, taking full ownership of tasks until completion.
- Strong hospitality mindset: able to understand the guest perspective while balancing operational realities.
- Exceptional attention to detail, organization, and multitasking skills.
- Excellent written and verbal English.
- Ability to de-escalate situations and handle guest concerns professionally and calmly.
- Reliable home office setup: stable internet, personal computer, and a distraction-free workspace.
Nice-to-Have Qualifications:
- Experience with Slack, Breezeway, and PMS tools.
Non-Negotiable Skills & Requirements:
- Minimum 2 years of experience in short-term/vacation rental guest support.
- Proven ability to work overnight/late-night shifts independently and proactively.
- Strong hospitality mindset and guest-first approach.
- Excellent written and verbal English communication.
- High attention to detail, organization, and multitasking skills.
- Reliable home office setup with stable internet and distraction-free environment.
