HR & Admin Specialist is responsible for supporting the Human Resources department through a variety of HR-related and administrative functions.

The HR & Admin Specialist will ensure smooth HR operations and handle various administrative duties. The role will focus on employee recruitment coordination, onboarding and offboarding, benefits administration, records management, and general administrative tasks, including employee query assistance.

Key Responsibilities:

  • Recruitment
  • Post job openings on designated platforms.
  • Assist in the recruitment process, including posting job vacancies, screening resumes, and scheduling interviews.
  • Job posting, sourcing, and initial screening of candidates. Provide a summary of the initial screening of candidates
  • Employee Onboarding and Offboarding
  • Assist in the Onboarding Process of new hires, including requesting the creation of access credentials. Create ERP credentials for the new hires.
  • Send a list of names for onboarding to L&D for LMS assignment of courses
  • Responsible for conducting an orientation session
  • Handle HR Admin Support tasks related to new hire personnel, such as the collection of new hire documents.
  • Collect necessary documents for payroll account opening.
  • Benefits Administration
  • Update employee leave balances
  • Liaise with the administration of statutory benefits if needed- SSS, PhilHealth, Pag-IBIG, and PhilHealth.
  • Records Management and ERP System Management:
  • Maintain and organize 201 files of all personnel.
  • Update employment information for new hires and active freelancers and employees.
  • Handle off-boarding documentation, including the preparation of clearance, quitclaim, exit interview form, and the release of final pay.
  • Ensure that all employees and freelancers are recorded and encoded in the company’s ERP.
  • Deactivation of ERP credentials of employees and freelancers
  • Maintain and organize 201 files of all employees.
  • Inventory and General Administrative tasks
  • Manage office facilities and supplies, including ordering office equipment and maintaining inventory.
  • Requisition of office supplies & maintenance supplies in the office.
  • Various administrative duties to support the HR and Finance departments, including sending courier items and service invoice monitoring.
  • Employee Query Assistance:
  • Monitor and manage the HR inbox, ensuring timely responses to all incoming queries.
  • Provide accurate and timely responses to employees and freelancers
  • Assist in organizing company events, team meetings, and training sessions
  • Other duties and projects as assigned by Management.

Requirements:

Education: Bachelor's degree in Human Resources, Psychology, Business Administration, or related field preferred.

Experience: Previous experience in HR and an administrative role is an advantage. With at least 2-3 years of HR experience in an HR (shared services or BPO setting a plus)

Skills:

  • Excellent organizational skills with a high attention to detail.
  • Strong written and verbal communication skills in the English language.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to handle sensitive information confidentially.
  • Knowledge of HR practices and employment law is a plus.
  • Proactive and able to work independently as well as collaboratively.
