Executive Assistant

Key Responsibilities
  • Manage the CEO's calendar, appointments, meetings, and travel arrangements.
  • Coordinate meetings with clients, contractors, suppliers, government agencies, and business partners.
  • Prepare correspondence, reports, presentations, contracts, and meeting materials.
  • Screen calls, emails, and other communications on behalf of the CEO.
  • Monitor and follow up on projects, deadlines, and action items across multiple business units.
  • Coordinate with department heads to ensure timely submission of reports and updates.
  • Organize confidential records, legal documents, and corporate files.
  • Take minutes during executive meetings and monitor the implementation of agreed action plans.
  • Assist in strategic planning, project coordination, and special assignments as directed by the CEO.
  • Represent the CEO professionally when coordinating with internal and external stakeholders.
  • Perform other executive and administrative duties as assigned.
Qualifications
  • Bachelor's degree in Business Administration, Management, Legal Management, Communications, or a related field.
  • At least 3–5 years of experience as an Executive Assistant, Executive Secretary, or similar role supporting senior executives.
  • Experience supporting executives in construction, manufacturing, engineering, or multi-business organizations is an advantage.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills with the ability to prioritize competing demands.
  • High level of professionalism, integrity, and confidentiality.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Strong analytical, problem-solving, and decision-making skills.
  • Ability to work independently while maintaining close coordination with the CEO and leadership team.
  • Willing to work beyond regular office hours when business demands require.
