Strata Admin Assistant

The role of a Strata Admin Assistant involves a range of responsibilities related to the management and administration of apartment or unit complexes within a body corporate or Strata setting. The Strata Admin Assistant plays a crucial role in ensuring the smooth operation and compliance of apartment or unit complexes by managing administrative tasks, communication with stakeholders, and maintaining accurate records in client software.

This role requires attention to detail, organisation, and effective communication skills.

Email Management:

  • Processes incoming emails.
  • Responds to emails in a timely manner.
  • Generates report requests as needed.

Meeting Support:

  • Reads and takes action on items from Annual General Meetings (AGM).
  • Assists in the preparation and documentation of AGM-related tasks.

Invoice Processes:

  • Assists in the processing of invoices.
  • Logs costs for various jobs related to the upkeep of the property.

Supplier Management:

  • Monitors and follows up on outstanding reports or payments from suppliers.
  • Contacts suppliers to request necessary reports for compliance management (e.g., fire safety plans, pool safety reports).
  • Generates a supplier list and communicates with relevant staff or committee members.

Data Entry and Software Management:

  • Processes invoices and logs costs in client software.
  • Performs data entry tasks accurately.
  • Enters key data into client software.
  • Updates and maintains data in the software.

Nominations:

  • Sends nominations to stakeholders.
  • Acknowledges nominations by sending templated emails.

Spreadsheet Management:

  • Exports and uploads spreadsheets into tools like Airtable.

Compliance Management:

  • Audits tasks to ensure compliance with regulations and guidelines.

New Building Entries:

  • Enters information for new buildings into client software.

Communication:

  • Responds to inquiries from Strata managers and suppliers.
