Noventralink is an Australian staffing company that places full-time Filipino professionals with Australian businesses. We manage employment contracts, payroll, and compliance — so candidates can focus on delivering great work.

We are currently pre-screening Project Admin professionals for an upcoming placement with an Australian design-and-build construction firm. The client delivers high-end residential and commercial projects across Australia and needs a dedicated remote admin to support their Project Manager with the full scope of project paperwork.

Responsibilities
  • Maintain project registers including RFIs, variations, submittals, and site instructions
  • Track subcontractor packages, purchase orders, and progress claims
  • Manage document flow between the Project Manager, site team, consultants, and clients
  • Maintain file management systems, version control, and document naming conventions
  • Schedule meetings, prepare agendas, and produce meeting minutes
  • Monitor project timelines and flag overdue actions to the Project Manager
  • Assist with contract correspondence including formal letters, notices, and client communications
  • Support the preparation of handover documentation and project close-out packs
Requirements
  • Minimum 2 years of experience in a project admin or document control role supporting Australian construction projects
  • Working knowledge of Australian construction processes — RFIs, variations, extension of time (EOT) claims, and progress claims
  • Proficient in at least one construction management platform: Procore, Aconex, Hammertech, Buildxact, or equivalent
  • Strong in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
  • Professional written and spoken English — direct communication with Australian project managers and clients is required
  • Highly organised with strong attention to detail
  • Able to work independently and manage priorities in a fully remote environment
  • Reliable internet connection and a dedicated, distraction-free home workspace
Preferred but not required
  • Experience supporting design-and-build or architectural construction firms
  • Exposure to Xero or MYOB for basic cost-related tasks
  • Familiarity with Australian Standards or the National Construction Code (NCC)
