The Documentation Controller is responsible for managing, organizing, filing, and maintaining company and project documents. The role ensures that all records, reports, contracts, permits, and correspondence are properly controlled, updated, and distributed to authorized personnel.

The Documentation Controller also monitors document compliance, accuracy, and confidentiality while supporting daily administrative and operational requirements.

Qualifications/Requirements
  • Bachelor’s degree in Business Administration, Engineering, Information Management, or related field is an advantage.
  • Proven experience as a Document Controller, Liaison Officer, or Administrative Officer preferably in Renewable Energy, Construction, Engineering, or Infrastructure projects.
  • Knowledge of document management systems, filing procedures, and records control.
  • Familiarity with permits, government compliance, and coordination with local government units (LGUs), DENR, DOE, ERC, DAR, and other regulatory agencies is an advantage.
  • Strong organizational and time management skills with the ability to handle multiple documents and transactions simultaneously.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and document tracking systems.
  • Ability to prepare, monitor, and maintain confidential project documents, permits, contracts, and reports.
  • Strong attention to detail and accuracy in documentation and reporting.
  • Ability to coordinate effectively with internal departments, contractors, suppliers, and government agencies.
  • Willing to do fieldwork and process permits/documents outside the office when necessary.
  • Ability to work under pressure and meet deadlines in a fast-paced project environment.
  • Experience in solar, wind, hydro, or other renewable energy projects is an advantage.
  • Knowledge of ISO documentation standards and compliance procedures is preferred.
  • Must be trustworthy, proactive, and capable of working with minimal supervision.

Duties and Responsibilities
Maintain and organize physical and electronic filing systems
Receive, record, distribute, and track incoming and outgoing documents
Ensure all documents are properly labeled, updated, and filed accordingly
Monitor document revisions and control procedures
Prepare reports, transmittals, logs, and document registers
Coordinate with different departments regarding document submission and requirements
Ensure confidentiality and security of company records and documents
Assist in preparing contracts, permits, project records, and compliance documents
Perform data encoding and maintain accurate databases
Retrieve documents upon request and ensure timely submission
Support administrative and clerical tasks as required
Ensure compliance with company policies and documentation standards
