Administrative Support: Providing comprehensive administrative support to the real estate broker, including managing calendars, scheduling appointments, managing incoming and outgoing mail and arranging meetings. This may also involve screening phone calls, managing emails, and handling correspondence.

  • Client Relations: Serving as a point of contact for clients, assisting with inquiries, scheduling property viewings, and providing updates on listings and transactions. Building and maintaining positive relationships with clients is crucial.
  • Transaction Management: Assisting in the management of real estate transactions from start to finish. This includes coordinating with clients, real estate agents, title companies, lenders, and other parties involved in the transaction process.
  • Document Preparation: Drafting and preparing various documents such as contracts, purchase agreements, listing presentations, and other paperwork required for real estate transactions. Ensuring accuracy and compliance with relevant regulations is essential.
  • Marketing Support: Supporting the broker with marketing initiatives such as creating promotional materials, updating property listings on websites, social media accounts and platforms, and coordinating advertising campaigns.
  • Research and Analysis: Conducting research on market trends, property values, comparable sales, and other relevant information to assist the broker in making informed decisions. Analyzing data and providing insights can help guide strategic business decisions.
  • Financial Administration: Assisting with financial tasks such as accounts receivable/payable of Broker’s Professional Fees, etc. Maintaining financial records accurately and efficiently is essential for the smooth operation of the business.
  • Coordination and Logistics: Coordinating logistics for events, meetings, and property showings. This may involve arranging travel accommodations, coordinating catering, and ensuring all necessary arrangements are in place.

Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field
  • Minimum of 1 year of experience in an executive or administrative assistant role
  • Experience supporting senior-level executives or management is highly preferred
