Executive Assistant to the Founder
About the Role
We're building Huayra, a mission-driven services company helping organizations scale their impact, and Ambition by Ana, a global community at the intersection of entrepreneurship, investing, and impact. Both are growing fast.
We're looking for a smart, proactive Executive Assistant to work directly with the founder. This isn't a typical assistant role; you'll have direct access to leadership, exposure to high-stakes business development, and genuine growth opportunities as we expand locally and internationally.
You'll work closely with partners, contractors, and clients to keep everything moving. You're not here to wait for direction. Your ideas matter, your perspective is welcome, and you'll be expected to bring both. This is a springboard.
Hybrid position: fully remote when the founder travels; in-person at our BGC, Metro Manila office when in-country.

Key Responsibilities
Executive & Operations Support
Manage the founder’s calendar, inbox, travel logistics (US + international), and scheduling
Draft, edit, and send professional communications on behalf of the founder
Organize and maintain digital systems, files, and project workflows
Track action items, deadlines, and follow-ups across multiple workstreams
Coordinate and manage independent contractors, partners, and clients across the business
Manage our website and social media presence across platforms
Track and manage various registration deadlines, licenses, and compliance requirements
Identify events, conferences, and speaking opportunities the founder should attend or be present at
Assist with bookkeeping using QuickBooks Online (QBO); maintain accurate financial records
Business Development & RFP Support
Research and identify RFP (Request for Proposal) opportunities aligned with Huayra’s services
Track proposal deadlines and submission requirements
Assist in formatting and compiling proposals
Support business development outreach and partnership coordination
Brand & Content Coordination
Act as the operational liaison between the founder and the Content & Brand Manager
Ensure content deadlines, approvals, and deliverables stay on track
Relay founder feedback, priorities, and direction to the content team clearly and promptly
Assist with scheduling content-related meetings, briefings, and campaign reviews
Support creation of presentations, brand decks, and internal materials as needed
Philippines Operations
Serve as an in-person resource when the founder is in-country
Leverage knowledge of local culture, logistics, and resources to support operations
Assist in expanding Huayra’s presence and partnerships within the Philippines
Non-Negotiable
Bachelor’s Degree in Business or related field from a top Philippine university (Ateneo, DLSU, UP, UST, or equivalent)
Available during US Pacific Time (PST): 4:00 AM – 7:00 PM, for calls and meetings
Located in or able to commute to BGC, Metro Manila for in-person work when required
Experience with QuickBooks Online (QBO) or bookkeeping
Fluent in both Tagalog and English, written and verbal (required)
Actively uses AI tools in daily work and committed to staying current as the landscape evolves
Proficiency with productivity tools (Google Suite, Slack, project management tools)
AI Proficiency:
We are an AI-forward organization. The use of AI tools is not optional. It is a core expectation of this role and central to how we operate and grow. We expect this person to be genuinely curious about AI, not just a passive user.
Actively uses AI tools in daily workflows (e.g. ChatGPT, Claude, Gemini, Perplexity, or similar)
Comfortable using AI for drafting communications, summarizing information, research, and task automation
Stays current on AI developments, tools, and best practices; proactively explores new capabilities
Understands the basics of prompt engineering and how to get quality outputs from AI models
Brings AI-powered solutions and suggestions to the team without being asked
Willing to experiment, learn, and adapt as the AI landscape continues to evolve rapidly
Strongly Preferred
Experience coordinating with creative or marketing teams
Experience managing independent contractors or virtual teams
Familiarity with navigating life, business, and logistics in the Philippines
