Job Description: Need Ink Sales & Services is currently looking for an Admin Assistant to provide high-level administrative and executive support, ensuring efficient office operations, and facilitating effective communication and documentation within the organization.

Key Responsibilities:

  1. Provide comprehensive administrative support to the Executive/Chairman/CEO.
  2. Manage and maintain the executive’s calendar, appointments, and travel arrangements.
  3. Screen and prioritize incoming communications including emails, calls, and correspondence.
  4. Prepare meeting agendas, reports, presentations, and other documents as required.
  5. Serve as the primary point of contact between the executive office and internal departments.
  6. Coordinate meetings, conferences, and executive events.
  7. Liaise with clients, partners, and stakeholders on behalf of the executive.
  8. Draft correspondence, memoranda, and reports for executive review.
  9. Responsible for maintaining confidential company and management records and files.
  10. Arranges management meetings and ensures all parties are informed in advance.
  11. Assist in preparing management reports, board presentations, and strategic documents.
  12. Handle sensitive information with a high degree of professionalism and confidentiality.
  13. Maintain strict discretion in dealing with executive matters and company information.
  14. Prepares and sends summary of Delivery Receipts (DR) and collections from nationwide sales personnel.
  15. Attends meetings and prepares minutes when necessary.
  16. Handles airline ticket and accommodation bookings for employees and visitors.
  17. Performs other administrative/executive functions analogous to the foregoing.

Qualifications/Requirements

About You:

The ideal candidate must have the following:

  1. Bachelor's degree in Business Administration, or a related field preferred.
  2. Proven experience as an administrative assistant or executive assistant.
  3. Excellent written and verbal communication skills.
  4. Strong organizational and time-management skills.
  5. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  6. Knowledge of standard office procedures.
  7. Attention to detail and accuracy.
  8. Ability to maintain confidentiality.
  9. Strong interpersonal skills.
  10. Ability to work independently and as part of a team.
