The Receptionist serves as the first point of contact for clients, visitors, and callers of the law firm. The role is responsible for providing courteous, professional, and efficient front desk and administrative support while ensuring a positive client experience and maintaining confidentiality at all times.

Key Duties and Responsibilities- Greet clients, visitors, and guests in a professional and courteous manner
- Receive, screen, and direct incoming calls, messages, and inquiries
- Manage the reception area and ensure it is presentable at all times
- Coordinate meeting room bookings and assist in preparing meeting rooms for client meetings
- Receive and log incoming mail, deliveries, and documents, and coordinate with messengers or staff for proper routing
- Assist lawyers and staff with basic administrative support tasks as needed
- Maintain visitor logs and ensure compliance with office security protocols
- Handle client inquiries and requests with discretion and professionalism
- Coordinate with messengers, legal secretaries, and administrative staff regarding documents and appointments
- Perform other front desk and administrative duties as assigned
Qualifications/Requirements
Education- Bachelor’s degree in Office Administration, Business Administration, or a related field
- Vocational or secretarial training is an advantage
- At least 1 year of experience as a receptionist, front desk staff, or administrative assistant
- Experience working in a law firm or professional services environment is an advantage
- Excellent verbal communication and interpersonal skills
- Professional phone etiquette and customer service skills
- Strong organizational and multitasking abilities
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Ability to handle confidential information with discretion
- Presentable, polite, and professional demeanor
- Attention to detail and reliability
- Courteous, calm, and patient
- Highly organized and dependable
- Service oriented with a client focused mindset
- Able to work well with lawyers, staff, and visitors
- Maintains professionalism under pressure
- May require extended hours during client meetings or firm events
- Regular interaction with clients, lawyers, and staff
