Mega Lifesciences is looking for a Marketing Assistant/ Receptionist to work closely with the Product Managers in a fast-paced environment that will offer ample opportunities to learn and expand your experience and expertise.

Job Summary

As a Marketing Assistant, your key tasks include:

  • Preparing accurate stock requests for Area Business Managers (ABMs), Medical Representatives, and key internal stakeholders.
  • Performing random checks prior to dispatch via Lite Xpress (cycle shipments) to ensure completeness and accuracy.
  • Checking liquidation documents and processing purchase orders with speed and precision.
  • Collaborating closely with Product Managers on supplier allocations and alignment with Human Resources configurations.
  • Coordinating timely pull-outs and dispatch of samplings/promats and Acknowledgement Receipts forms to ABMs.
  • Monitoring delivery of items from suppliers to Lite Xpress through Product Managers and proactively updating Business Unit Heads on shipment status one week prior to dispatch.
  • Ensuring on-time shipment end-to-end by coordinating schedules and removing roadblocks.
  • Conducting monthly stock counts, maintaining inventory accuracy, and ongoing monitoring.
  • Tracking liquidation and cash advances (CA) to ensure compliance and timely closure.
  • Maintaining proper documentation and clear, professional email communication.
As a Receptionist, your key tasks include
  • Greet and assist visitors warmly, ensuring they are attended to promptly and professionally.
  • Answer and direct incoming calls in a courteous and timely manner to relevant departments.
  • Manage the reception area to maintain a clean, organized, and professional environment at all times.
  • Receive and distribute correspondence, parcels, and deliveries efficiently.
  • Handle visitor logs, ID checks, and security protocols to comply with company policies.
  • And other tasks that may be assigned from time to time

Qualification & Experience

  • Bachelor’s/College Degree in any course.
  • Advanced proficiency in Microsoft Excel.
  • Advantage: experience in logistics, data management, monitoring, and scheduling.
  • Strong time management; organized and flexible approach to changing priorities.
  • Demonstrated sense of urgency and dependable follow-through.
  • Warm, courteous, and approachable personality.
  • Highly responsible and dependable.
  • Adaptable and able to work under pressure in a dynamic environment.

Skills & Knowledge

You bring advanced Excel skills and a solid grasp of logistics coordination, inventory monitoring, scheduling, and documentation. You are structured and organized, thrive in fast-moving situations, and take decisive action to keep shipments and requests on time.

Your time management is strong, your communication is clear, and you collaborate smoothly with Product Managers, ABMs, and cross-functional partners. Above all, you operate with a strong sense of urgency and responsibility, ensuring nothing falls through the cracks.
