The Admin/Accounting Assistant provides administrative and accounting support to ensure the efficient operation of the office and the accurate processing of financial transactions. The role involves handling documentation, recordkeeping, billing, petty cash management, accounts payable and receivable monitoring, and other clerical and administrative functions.

Duties and Responsibilities

Administrative Functions
  • Maintain and organize company files, records, and documents.
  • Prepare, process, and monitor office correspondence, reports, and memoranda.
  • Handle incoming and outgoing mail, deliveries, and courier transactions.
  • Assist in office supply inventory and procurement activities.
  • Coordinate with suppliers, service providers, and external stakeholders.
  • Maintain and update employee and company records.
  • Support company events, meetings, and administrative activities.
  • Perform other administrative duties as assigned.
Accounting Functions
  • Assist in the preparation and processing of invoices, billing statements, and official receipts.
  • Monitor accounts payable and accounts receivable.
  • Prepare payment requests and check vouchers.
  • Record and maintain financial transactions in accounting records and systems.
  • Assist in bank reconciliations and monitoring of company bank accounts.
  • Maintain petty cash records and liquidation reports.
  • Prepare supporting documents for audits and financial reporting.
  • Coordinate with clients, suppliers, and government agencies regarding accounting-related concerns.
  • Assist in the preparation of monthly financial and management reports.
  • Ensure proper filing and safekeeping of accounting documents.
Qualifications
  • Bachelor's Degree in Accountancy, Accounting Technology, Financial Management, Business Administration, or a related field.
  • At least 1 year of relevant administrative and accounting experience is preferred.
  • Fresh graduates are encouraged to apply.
  • Proficient in Microsoft Office applications, particularly Excel and Word.
  • Knowledge of basic accounting principles and bookkeeping procedures.
  • Familiarity with accounting software is an advantage.
  • Strong organizational, analytical, and communication skills.
  • Detail-oriented, trustworthy, and able to maintain confidentiality.
  • Ability to work independently and manage multiple tasks efficiently.
