What You’ll Be Doing
As an Order Management Specialist, you will take ownership of the full sales order lifecycle—from initial quote through to fulfillment—ensuring accuracy, efficiency, and clear communication across teams while continuously improving systems and workflows.
Sales & Order Coordination- Produce quotes from web enquiries and internal sales requests
- Enter and maintain new deals in the CRM system
- Support the sales team with accurate and timely order-related information
- Accurately enter and manage sales orders within the ERP system
- Generate daily order reports and ensure CRM data is up to date
- Review and clarify order details including freight, product specifications, and requirements
- Calculate and communicate freight charges
- Determine and communicate estimated delivery timelines (ETAs) to customers
- Progress orders through dispatch, production, or purchasing workflows
- Monitor backorders and proactively communicate status updates
- Keep customers and internal teams informed of any changes or delays
- Issue invoices accurately and on schedule
- Assist customer service teams with order-related enquiries
- Produce ERP reports to support operational and management decisions
- Identify bottlenecks and drive workflow improvements
- Introduce and leverage AI tools to enhance efficiency and reporting
- Proven experience in Order Management, Sales Administration, or Customer Service
- Expert-level ERP system experience, including reporting and workflow optimization
- Advanced proficiency in Microsoft 365 (especially Excel, Teams, and Word)
- Experience using AI tools to improve workflows or productivity
- Exceptional attention to detail and data accuracy
- Strong problem-solving skills with a proactive mindset
- Excellent communication skills and ability to coordinate across teams
- Strong organizational and time management abilities
- Willingness to work Australasian, North American, or UK shift hours
- Willingness to work in or relocate to Angeles City, Pampanga
