Primary Purpose
Our affiliated company, Brightside Resort and Properties Inc., is currently hiring for the position of Sales Coordinator .The Sales Coordinator supports the hotel’s Sales & Marketing team by handling administrative tasks, assisting with client communication, processing sales documentation, and coordinating logistics—from lead handling to event execution—to help drive bookings and revenue.
Key Responsibilities- Administrative & Sales Support
- Provide day-to-day administrative support to the Sales team (filing, emails, correspondence, document preparation).
- Prepare sales proposals, contracts, and Banquet Event Orders (BEOs).
- Organize sales materials, brochures, promotional documents, and sales reports.
- Client Communication & Lead Handling
- Answer and respond to incoming calls, emails, and queries from clients, travel agents, and corporate accounts.
- Follow up on sales leads and ensure timely responses (often within a set timeframe, e.g., 8 hours).
- Maintain professional communication to support customer satisfaction.
- Coordination with Internal Departments
- Liaise with Reservations, Front Office, Banquets & Catering, Housekeeping, and Operations to ensure bookings and events run smoothly.
- Relay all booking details, room blocks, and event requirements accurately.
- CRM, Data & Reporting
- Manage and update client databases and CRM systems with leads, bookings, and contact information.
- Prepare sales reports, tracking metrics like inquiries, conversions, and performance trends.
- Assist with market research or competitive analysis.
- Event & Booking Coordination
- Support logistics for meetings, conferences, corporate groups, and social events coordinated by sales.
- Assist in guest site visits, familiarization tours (FAM trips), and sometimes event execution details.
- Coordinate audiovisual, catering, set-ups, and special requirements with relevant departments.
- Client Relationship Management
- Build and maintain strong client relationships to encourage repeat business and referrals.
- Handle client concerns professionally and follow up to ensure satisfaction.
- Excellent communication skills (verbal and written).
- Strong organizational and time-management abilities.
- Proficiency with MS Office and hotel CRM/reservation systems.
- Attention to detail and ability to multitask under pressure.
- Customer service mindset and professional presentation.
