Position: Insurance Officer / Claims Assistant

Contract duration: 6 months

General responsibilities: Responsible for documentation, filing and claim documentations compilation, coordination with fleet, crew manning and A/C departments, and others as may be directed by Insurance Manager / General Manager of fleet support department

Relationship: Reports to Claims Insurance Manager and General Manager of fleet support department

Main duties and responsibilities
  1. Collates and checks invoices and claim letters related to P&I crew case to ensure that information is complete, correct, and valid in line with P&I Rules.
  2. Enters data on P&I Breakdown timely and accurately.
  3. Submits a copy of the manning agents' debit notes to Invoicing or Accounts for processing of claims.
  4. Liaises with the concerned departments and manning agents to gather information or resolve any issues related to claims.
  5. Submit a request to Accounts for payment to concerned parties (i.e. P&I Club, local correspondent) for the prompt settlement of a claim or legal case and to complete the transaction.
  6. Prepares and submits claim debit notes together with the supporting documents to P&I Club.
  7. Assist in collecting documents for deviation loss/claim in coordination with master and vessel managers.
  8. Monitors remittances from the P&I Club, conducts follow-up, if necessary.
  9. Checks the correctness of amount upon receiving the remittance and updates the List of Debit Note and Reimbursements upon receiving the remittances.
  10. Provides Accounts with a copy of the Debit Note and Credit Note (if required).
  11. Corresponds with the Club for any concerns on crew claims and informs them to close the case if there are no further claims to submit.
  12. Compiles and maintains records such as claim documents from manning agent, debit note, bank remittance slip, and credit note advice in good order.
  13. Assist in reporting and monitoring P&I cases and collecting relevant documents for submission to P&I Club.
  14. Performs other matters as may be directed by the Insurance Managers and Deputy General Manager.
