Job Summary
The Executive Assistant – Client Services is responsible for supporting client service operations through accurate data management, compliance monitoring, and administrative coordination. The role ensures client records, documentation, and systems are maintained in line with organizational protocols and NDIS requirements while supporting onboarding and offboarding processes, intake and scheduling activities, and stakeholder coordination with participants, families, guardians, support coordinators, and the NDIA to ensure a consistent and compliant service experience.
Key Responsibilities- Data Management & Compliance
- Conduct monthly validation of the Nurture List to ensure data accuracy and relevance
- Review and update on-hold participant lists on a regular basis
- Perform routine audits in Splose to ensure client records are accurate and compliant
- Monitor participant cases approaching expiry and take proactive steps for review and updates
- Ensure all client documentation (Service Agreements, Consent Forms, Home Risk Assessments) is complete and up to date
- Participant Lifecycle Management
- Manage onboarding and offboarding processes in line with organizational and compliance protocols
- Support intake and appointment scheduling by gathering required participant information
- Work collaboratively with participants to understand their needs and expectations
- Stakeholder Engagement
- Build and maintain strong relationships with internal teams and external stakeholders including families, guardians, support coordinators, case managers, and the NDIA
- Represent the organisation professionally and ensure a positive client experience
- Administrative Support
- Maintain accurate records, documentation, and data collection processes
- Ensure all activities align with NDIS guidelines and relevant legislation
- Continuously update professional and technical knowledge
- General Duties
- Support team initiatives and perform additional tasks as required by leadership
- Proven experience in administration, client services, or coordination roles
- Strong attention to detail with excellent data management and organisational skills
- Experience working in compliance-driven environments
- Excellent written and verbal communication skills
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
- Proficiency in Microsoft Office (especially Excel) and CRM/database systems
- Experience working within the NDIS framework or healthcare/disability services
- Familiarity with systems such as Splose or similar client management platforms
- Understanding of service agreements, consent documentation, and risk assessments
