We're now looking for a reliable, resourceful, and detail-oriented Virtual Assistant who thrives on structure, communication, and keeping things moving behind the scenes.
The Role
As our Virtual Assistant, you’ll be the organisational backbone of the agency. You’ll support the team by managing communications, tracking projects, following up on deliverables, and keeping operations smooth and clients informed. This is a fully remote role requiring strong autonomy and communication.
Key Responsibilities
Client Communication- Respond to emails and Slack within 4 business hours
- Share project updates, flag risks, and maintain professional communication
- Join Zoom check-ins to align on next steps and deliverables
- Build and maintain task boards in Monday.com
- Track deadlines, follow up with creatives, and manage timelines
- Coordinate internal and client calendars using Google Calendar
- Oversee the delivery status of videos, posts, graphics, and documents
- Run basic quality checks before client delivery
- Ensure files are organised and accessible via Google Drive & Dropbox
- Issue invoices using Xero
- Send payment reminders for overdue invoices
- Maintain records and update forecasting sheets
- Keep internal SOPs, templates, and workflows up to date
- Help identify bottlenecks and suggest efficiency improvements
- Maintain Notion or Drive-based documentation
- Prepare simple reports: project progress, task status, invoice tracking
- Flag any issues impacting timelines or cash flow
- Obsessed with details and organised workflows
- Excellent written and verbal English communication
- Skilled in Google Workspace, Monday.com, and Xero
- Reliable, proactive, and able to work independently
- Comfortable liaising with clients and internal teams
Bonus Points For
⭐ Previous experience in Marketing, Creative, or Digital agencies or roles⭐ Familiarity with work management platforms like Monday.com
⭐ Experience with Xero, FreshBooks, or other invoicing tools
⭐ Proficiency in Google Calendar, Docs, Sheets, and Drive
⭐ Experience supporting creative production (social, video, content cycles)
