Job Description:

We are looking for a highly organized and detail-oriented Administrative Secretary to support daily office operations, manage documentation and paperwork, and provide assistance in building maintenance and basic property management functions.

This role is essential in ensuring efficient workflow and a well-maintained workplace environment.

Key Responsibilities:

Administrative & Documentation:

  • Prepare, organize, and maintain office documents, records, and filing systems
  • Handle office documentation, reports, and paperwork with accuracy and confidentiality
  • Assist in preparing correspondence, memos, and internal reports
  • Manage schedules, meetings, and appointments
  • Maintain proper documentation and ensure compliance with company procedures

Clerical & Office Support:

  • Perform general clerical duties such as data entry, filing, and record keeping
  • Handle emails, phone calls, and internal/external coordination
  • Support daily office operations across departments

Building Maintenance Assistance:

  • Monitor and report maintenance concerns (electrical, plumbing, repairs, etc.)
  • Coordinate with maintenance staff, contractors, and service providers
  • Track and update maintenance requests, work orders, and service schedules
  • Maintain records of repairs, inspections, and maintenance activities

Property Management Support (Basic):

  • Assist in monitoring office facilities, utilities, and supplies
  • Help maintain records of assets, permits, and compliance documents
  • Support coordination of housekeeping, security, and facility services
  • Assist in ensuring cleanliness, safety, and orderliness of the workplace

Qualifications:

  • Graduate of any 4-year course
  • Proficient in MS Office (Word, Excel, PowerPoint)
  • Strong organizational and time management skills
  • Good communication and interpersonal skills
  • Detail-oriented and capable of handling multiple tasks
  • With or without experience (Fresh graduates are welcome to apply)
  • Willing to work in Quezon City
