What this job involves:

As a Facilities Coordinator at JLL, you will manage all soft services aspects of a facility while maintaining a world-class working environment to create wonderful workplace experiences for employees through comprehensive day-to-day facilities operations management.
This operational role combines client service excellence with vendor coordination responsibilities, requiring you to manage general employee requests, reception and mailroom operations while conducting regular facilities inspections and ensuring safety standards compliance.

You will play a vital role in JLL's commitment to delivering exceptional facility operations by serving as the vendor point of contact for soft services, coordinating with multiple stakeholders, and maintaining accurate site documentation while contributing to our mission of creating transformative workplace solutions that exceed client expectations.

What your day-to-day will look like:

  • Manage day-to-day facilities operations including general employee requests, reception, and mailroom while maintaining world-class working environment
  • Conduct regular facilities inspections and audits to confirm safety standards while identifying, planning, and reporting major repair needs
  • Coordinate with Facilities Manager, coordinators, housekeeping personnel, landlord personnel, and vendors to ensure tasks run according to plan
  • Conduct daily walkthroughs to ensure clean and organized office while responding to work orders in timely manner with KPI compliance
  • Serve as vendor point of contact for soft services daily operations while providing coordination for events, meetings, and conference facilities
  • Assist with critical out-of-hours issues and participate as key team member in emergency situation responses when necessary
  • Update and maintain accurate records and official documentation for sites including web pages and support for moves/reconfigurations.

Required Qualifications:

  • Experience in facilities management or operations coordination with understanding of soft services delivery
  • Strong organizational and coordination skills with ability to manage multiple tasks and vendors simultaneously
  • Excellent customer service skills with focus on creating exceptional workplace experiences
  • Ability to conduct inspections and identify maintenance needs while ensuring safety compliance
  • Strong communication skills for vendor coordination and client relationship management
  • Experience with work order management systems and KPI reporting
  • Flexibility to assist with out-of-hours issues and emergency responses as needed

Preferred Qualifications:

  • Background in facilities coordination or similar operational support roles
  • Knowledge of building safety standards and maintenance procedures
  • Experience with event coordination and conference facility management
  • Familiarity with vendor procurement and service provider management
  • Understanding of client contract requirements and performance indicators
  • Experience with reception and mailroom operations management
  • Knowledge of equipment maintenance and landlord relations
