Role: Contract Administrator
Work Arrangement: Hybrid
Location: Philippines - Angeles (Pampanga)

Schedule: Morning shift

Key Responsibilities:

Business Development (BD) Contracts:

  • Initiate and manage renewal contract discussions based on PM guidance.
  • Prepare and send Employer Engagement Forms and Terms & Conditions (T&Cs).
  • Respond to contract-related employer queries (Take-up Rate, T&Cs, etc.).
  • Track and follow up employer-signed contracts; update stakeholders.
  • Check and send old contract versions when requested.
  • Lodge new and renewal contracts in SharePoint Contract Manager.
  • Manage contract status (Pending, Approved, Activated, Expired).
  • Monitor and update various trackers
  • Update CRM systems (Freshsales) to track contract pipeline progress.
  • Support monthly BD contract meetings and prepare meeting minutes.
  • Provide EOM reports and ongoing contract renewal reports to PM Team and Leadership.

Network Development (ND) Contracts :

  • Prepare Contract Checklist + Engagement Form + T&Cs based on facility needs (renewals, management changes, pricing).
  • Liaise with DoA/FP Signatories for approvals and co-signatures.
  • Manage ND Freshdesk tickets and respond to contract-related facility queries.
  • Ensure updated and accurate info in the Register File
  • Coordinate with Facility Support and Finance/Accounts for contract-related updates.
  • Maintain SharePoint for ND contracts, including version history and subfolders.
  • Update Freshsales pipeline for ND facility statuses.
  • Implement template changes in Engagement Forms upon ANZ ND Mgr's instructions.

General & Shared Duties:

  • Maintain accurate SharePoint folders for each employer/facility.
  • Draft and update precedent clauses for contract consistency.
  • Convert and archive documents (e.g., Word to PDF).
  • Assist with cross-functional communications between BD, ND, and support teams.
  • Monitor Freshdesk & Outlook for requests, reminders, and escalations.

Qualification and requirements:

Competencies/Skills:

  • Proven ability to draft and manage contracts aligned with business requirements.
  • High attention to detail and accuracy in reviewing legal and commercial documents.
  • Strong written and verbal communication skills, with the ability to effectively liaise across departments and with external stakeholders.
  • Skilled in time management and multitasking, handling multiple priorities and deadlines independently or as part of a team.
  • Strong organizational skills, particularly in maintaining accurate records, reports, and document control systems.
  • Proficient in Microsoft Office Suite (Word, Excel, PDF), with advanced working knowledge of SharePoint, Freshdesk, Freshsales, and other CRM tools.
  • Familiarity with contract terminology, standard legal clauses, and commercial agreements.

Non-negotiable skills & requirements:

Qualities:

  • Minimum of 1–2 years' experience in contract administration, legal operations, or compliance support, preferably within an outsourced, BPO, or remote work setting.
  • Previous experience in a similar contract administration role supporting cross-functional teams.
  • Results-oriented with a strong drive to succeed, both independently and as part of a high-performing team.
  • Demonstrated ability to build and maintain effective relationships across all levels of the organization and with external stakeholders.
  • Energetic, reliable, and honest, with a strong sense of accountability and integrity.
  • Committed to maintaining confidentiality and upholding professional standards.
  • Knowledge of the Australian corporate environment or health & fitness industry is an advantage.
