What is your mission?
We are looking for a detail-oriented US Talent Acquisition Coordinator to support full-cycle recruitment, payroll processing, timekeeping administration, onboarding, employee records management, and Human Resources operations for a U.S.-based workforce. The role involves coordinating hiring activities, maintaining Human Resources Information Systems, supporting multi-state payroll, ensuring compliance with U.S. employment practices, and delivering accurate employee and payroll support.
You will provide the best service to our partner brands by performing these tasks:
- Support and back-up the Human Resources Manager in daily Human Resources operations and strategic initiatives.
- Support full-cycle recruitment for manufacturing, warehouse, operations, administrative, and professional roles.
- Coordinate job postings, candidate screening, interview scheduling, hiring communications, and applicant tracking activities.
- Conduct initial candidate screenings and coordinate hiring processes with managers and interview teams.
- Prepare offer letters, onboarding documentation, background checks, and employment verifications.
- Maintain accurate recruiting records, candidate pipelines, and hiring activity reports.
- Support recruiting events, workforce development initiatives, and employer branding activities.
- Provide recruitment updates and recommend process improvements for recruiting and onboarding.
- Serve as the primary point of contact for processing semi-monthly payroll across multiple states.
- Process payroll activities accurately and timely in accordance with payroll schedules and company policies.
- Process and maintain Health Savings Account and 401(k) contribution updates and records.
- Review and reconcile employee timecards, Paid Time Off, overtime, deductions, bonuses, and payroll changes.
- Maintain accurate payroll, Human Resources Information Systems, and timekeeping records while ensuring confidentiality and compliance.
- Respond to employee payroll and timekeeping concerns and resolve discrepancies promptly.
- Coordinate payroll-related employee changes including new hires, terminations, pay adjustments, garnishments, and direct deposit updates.
- Partner with Human Resources, Finance, managers, and payroll providers for payroll reconciliations, audits, reporting, and issue resolution.
- Support year-end payroll activities, payroll audits, timekeeping audits, and compliance reporting requirements.
- Identify opportunities to improve payroll workflows, processing efficiency, and employee communication.
- Ensure compliance with applicable labor laws including minimum wage and overtime regulations across multiple states.
- Maintain accurate employee files, recruiting documentation, payroll records, and Human Resources reports.
- Support onboarding, employee communications, policy acknowledgments, and Human Resources administrative processes.
- Support employee lifecycle activities including onboarding, transfers, promotions, leaves of absence, and separations.
- Assist with Human Resources compliance activities, audits, reporting, and special projects.
- Promote professionalism, confidentiality, and positive employee experiences while supporting workplace culture and company values.
- Bachelor’s degree in Human Resources, Business Administration, Psychology, Accounting, or related field preferred.
- Minimum of 3 years of experience in Human Resources, recruitment coordination, payroll administration, Human Resources coordination, or administrative support roles.
- Hands-on experience in recruitment coordination or talent acquisition support required.
- Experience supporting hourly, non-exempt, or manufacturing employees strongly preferred.
- Experience with job postings, candidate communication, interview coordination, onboarding, timekeeping systems, payroll systems, Human Resources Information Systems platforms, and employee records management required.
- Experience in manufacturing, nutraceuticals, dietary supplements, healthcare, food production, quality-driven operations, or regulated environments preferred.
- Working knowledge of U.S. employment practices, payroll compliance, labor laws, overtime regulations, and wage requirements.
- Experience supporting multi-state payroll processing preferred but not required.
- Certification in Payroll, Human Resources, Recruiting, or Human Resources Information Systems is an advantage.
- Certifications such as Professional in Human Resources, Society for Human Resource Management Certified Professional, Certified Payroll Professional, Fundamental Payroll Certification, or recruiting-related certifications are a plus.
- Strong organizational, communication, problem-solving, and coordination skills.
- Ability to handle confidential information with professionalism and discretion.
- Detail-oriented with the ability to manage multiple priorities in a fast-paced environment.
- Strong collaboration and stakeholder management skills.
