Operations Assistant

The Operations Assistant supports the daily administrative and operational functions of the Sales, office and Project Management. To ensure efficiency and organiztion across departments. This role involves assisting with sceduling, documentation and communication between teams.

Duties and Responsibilities:

• Prepare work orders for fabrication using FileMaker (SAO/COO).
• Scan and organize documents (ORA, IDR, Work Orders).
• Update trackers using FileMaker.
• Monitor ongoing projects (status: on hold, delivered).
• Monitoring of Pending IDR Request to Costing
• Accommodate and process delivery requests.
• Create Delivery Receipt (DRC) for unit sales, projects, and installation kits.
• File and organize documents.
• Maintain and update all monitoring records for the Operations Team.
• Request warehouse release for equipment to be delivered.
• Requesting of Delivery Receipts (DR), Sales Invoices (SI), at RACM.
• Checking of deliveries.
• Coordinate with FEII (Planta) for necessary arrangements
• Coordination with cross-functional teams and other departments.
• Prepare and submit Petty Cash Reimbursement at Treasury.
• Updating The Sales Monitoring In Google Document
• Other task to be assigned by Supervisor.
