We are seeking a highly organized and proactive Virtual Assistant / Administrative Support Specialist to join our growing team and support a professional services client.

Key Responsibilities

Administrative & Executive Support
  • Manage calendars, appointments, and meeting schedules
  • Coordinate travel, accommodation, and event bookings
  • Organize and maintain digital files and records
  • Prepare meeting agendas, minutes, and reports
Client & Communication Support
  • Monitor shared inboxes and respond to routine inquiries
  • Escalate priority matters to the appropriate team members
  • Assist with client onboarding and document collection
  • Maintain professional communication with clients and stakeholders
Operations & Process Management
  • Update and maintain standard operating procedures (SOPs)
  • Track tasks, deadlines, and project progress
  • Assist with workflow documentation and process improvements
  • Support automation and efficiency initiatives
Marketing & Team Support
  • Schedule social media content
  • Create basic graphics using Canva
  • Assist with email marketing campaigns
  • Support recruitment, onboarding, and team administration activities

Qualifications

Required Experience
  • Minimum 2 years of experience as a Virtual Assistant, Administrative Assistant, Executive Assistant, or similar role
  • Excellent written and verbal English communication skills
  • Strong organizational and multitasking abilities
  • Ability to work independently with minimal supervision
Technical Skills
  • Microsoft 365 (Outlook, Word, Excel, Teams)
  • Google Workspace
  • Canva
  • Project management or CRM platforms
  • Comfortable learning new software and systems
Preferred Experience
  • Experience supporting Australian, UK, European, or North American businesses
  • Experience working remotely
  • Familiarity with bookkeeping, accounting, or professional services environments
