Virtual Assistant – Operations & Customer Support - Philippines

Overview:
We are seeking a highly organized and detail-oriented Virtual Assistant (VA) with strong communication skills and a customer-first mindset. This role will support our Operations Manager by handling a wide range of administrative, logistical, and customer service tasks.

The ideal candidate will be efficient, adaptable, and proactive, with a background in administrative support and a willingness to learn basic construction or materials estimating tasks.

Key Responsibilities

Contract Administration: Prepare and process contracts and administrative documents

Track and update customer records and job files

Breakdowns & Material Takeoffs: Translate sales consultants’ fence drawings into digital breakdowns using our internal system

Generate accurate material lists for each project

Must be comfortable learning construction basics and technical software

Scheduling & Customer Coordination: Schedule installation dates with customers and send payment reminders

Make confirmation calls the day before and follow-up calls the day of installation

Serve as a professional and friendly point of contact for customers

Administrative Support & Ordering: Order dumpsters for job sites as needed

Create and send invoices using our SOS Inventory system

Submit purchase orders and track fulfillment

Requirements: Proven experience in an administrative, customer service, or operations support role

Strong verbal and written communication skills – must be comfortable making and receiving calls regularly
High attention to detail and strong organizational skills
Tech-savvy and a quick learner of new systems (experience with SOS Inventory is a plus, but not required)
Comfortable working independently with clear deadlines and deliverables

Prior experience with construction, home services, or estimating is a plus but not required

Enjoys creating order, supporting others, and learning new tools
