OVERVIEW

The Executive Assistant will provide high-level administrative and operational support to the company’s executives and management team. This role requires exceptional organizational skills, strong communication abilities, and discretion in handling sensitive information.

The ideal candidate demonstrates administrative excellence, proactive problem-solving, and the ability to manage multiple priorities in a fast-paced environment—supporting both daily operations and strategic initiatives.

You’ll serve as a trusted partner to leadership, ensuring the smooth flow of communication, efficient coordination of priorities, and timely execution of executive and administrative tasks.

QUALIFICATIONS:

  • Bachelor’s degree in Business Administration, Management, Communications, or a related field.
  • At least 5-8 years of experience as an Executive Assistant or in a similar administrative support role.
  • Preferably with experience in the real estate industry and knowledge of processing development permits and licenses.
  • Strong organizational and time management skills; able to handle multiple priorities under tight deadlines.
  • Excellent written and verbal communication skills. High level of professionalism, discretion, and integrity in handling confidential information.
  • Strong attention to detail and ability to maintain accuracy across documents and schedules.
  • Proficiency in MS Office and Google Workspace (Docs, Sheets, Calendar, Drive).
  • Experience supporting senior executives or leadership teams is highly preferred.

RESPONSIBILITIES:

  • Provide comprehensive executive support including calendar management, scheduling, travel coordination, and meeting preparation.
  • Manage executive correspondence, emails, and communications, ensuring timely follow-ups and responses.
  • Prepare presentations, reports, meeting materials, and executive summaries. Coordinate with internal teams and external partners to support executive initiatives and daily operations.
  • Track action items, deadlines, and priorities to ensure timely completion of tasks and projects.
  • Maintain organized digital and physical filing systems for executive and corporate records.
  • Support executives in project coordination, follow-ups, and administrative tasks as needed.
  • Uphold confidentiality and exercise sound judgment in managing sensitive company and business information.
