Executive Assistant (Japanese Bilingual)

We are seeking a highly organized, proactive, and professional Japanese Bilingual Executive Assistant to provide high-level administrative and executive support to senior leadership. This role is ideal for someone who thrives in a fast-paced environment, demonstrates exceptional attention to detail, and can effectively communicate in both Japanese and English.
As a trusted partner to our executives, you will play a critical role in managing schedules, coordinating travel arrangements, handling confidential information, and ensuring the smooth day-to-day operation of executive functions.
Key Responsibilities
Executive Support & Coordination- Manage and coordinate complex calendars, appointments, and meetings for senior executives
- Organize executive meetings, prepare agendas, record meeting minutes, and monitor follow-up actions
- Prepare, edit, and distribute reports, presentations, correspondence, and other business documents
- Screen, prioritize, and manage incoming communications, emails, and requests
- Arrange domestic and international travel for executives, employees, and the owner's family
- Coordinate flights, accommodations, visa requirements, transportation, and detailed travel itineraries
- Ensure all travel arrangements are accurate, cost-effective, and aligned with executive preferences
- Act as a liaison between executives and internal/external stakeholders
- Assist with translation and communication in Japanese and English as needed
- Maintain accurate records and organize confidential documents
- Handle sensitive information with the highest level of discretion and professionalism
- Fluent in both Japanese and English (written and verbal)
- At least 3 years of experience as an Executive Assistant supporting senior-level executives
- Excellent organizational, planning, and time-management skills
- Strong interpersonal and communication abilities
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools
- Ability to manage multiple priorities and adapt quickly in a dynamic environment
- High level of professionalism, discretion, and confidentiality
- Strong problem-solving skills with exceptional attention to detail
- Bachelor's Degree or equivalent professional experience preferred
