Join Our Team as a Japanese Bilingual Executive Assistant!

We are seeking a highly organized, proactive, and professional Japanese Bilingual Executive Assistant to provide high-level administrative and executive support to senior leadership. This role is ideal for someone who thrives in a fast-paced environment, demonstrates exceptional attention to detail, and can effectively communicate in both Japanese and English.

As a trusted partner to our executives, you will play a critical role in managing schedules, coordinating travel arrangements, handling confidential information, and ensuring the smooth day-to-day operation of executive functions.

Key Responsibilities

Executive Support & Coordination
  • Manage and coordinate complex calendars, appointments, and meetings for senior executives
  • Organize executive meetings, prepare agendas, record meeting minutes, and monitor follow-up actions
  • Prepare, edit, and distribute reports, presentations, correspondence, and other business documents
  • Screen, prioritize, and manage incoming communications, emails, and requests
Travel & Logistics Management
  • Arrange domestic and international travel for executives, employees, and the owner's family
  • Coordinate flights, accommodations, visa requirements, transportation, and detailed travel itineraries
  • Ensure all travel arrangements are accurate, cost-effective, and aligned with executive preferences
Administrative & Communication Support
  • Act as a liaison between executives and internal/external stakeholders
  • Assist with translation and communication in Japanese and English as needed
  • Maintain accurate records and organize confidential documents
  • Handle sensitive information with the highest level of discretion and professionalism
Qualifications
  • Fluent in both Japanese and English (written and verbal)
  • At least 3 years of experience as an Executive Assistant supporting senior-level executives
  • Excellent organizational, planning, and time-management skills
  • Strong interpersonal and communication abilities
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools
  • Ability to manage multiple priorities and adapt quickly in a dynamic environment
  • High level of professionalism, discretion, and confidentiality
  • Strong problem-solving skills with exceptional attention to detail
  • Bachelor's Degree or equivalent professional experience preferred
