About the Role:
The Contract Support Associate is a vital part of the CBRE Global Workplace Solutions (GWS) team, providing essential administrative and financial support to ensure the successful delivery of Integrated Facilities Management (IFM) services. In this role, you will act as a "financial champion" for your assigned account, bridging the gap between site operations and head office finance.
Key Responsibilities:
- Financial Management: Review processed invoices, ensure accurate cost-center coding, and coordinate billing applications. You will also calculate margins, raise invoices, and respond to inquiries regarding accounts receivable/payable and open purchase orders.
- Contract Administration: Maintain a deep understanding of the client contract scope to ensure all work aligns with agreed-upon requirements. You will manage sub-contractor paperwork and coordinate vendor onboarding for both planned and reactive maintenance.
- Operational Reporting: Deliver monthly reporting support for Contract and Business Unit Reviews, ensuring core operational and financial outputs are consistently achieved.
- QHSE Support: Assist in maintaining compliance with Health, Safety, and Environment (HSE) requirements, ensuring all QHSE documentation is up-to-date and accessible in company systems.
- Client Satisfaction: Respond promptly to client inquiries and concerns, following up to ensure timely service delivery and high levels of satisfaction.
What You’ll Need:
- Experience: Ideally 2-3 years of job-related experience in administrative support, facilities management, or accounting.
- Education: High School Diploma or GED; a Bachelor’s degree in Business, Finance, or a related field is preferred.
- Technical Skills: Advanced proficiency in Microsoft Office (specifically Excel for data analysis and Word for reporting). Familiarity with financial and operational software systems is a significant advantage.
- Analytical Mindset: Strong math skills to calculate percentages, discounts, and markups, along with an inquisitive mindset to identify cost-saving opportunities.
- Communication: Ability to evaluate and communicate complex financial or operational content in a concise and logical manner.
