We are looking for a highly organized and detail-oriented Admin Officer to support the daily administrative operations of our BPO organization. The ideal candidate will ensure efficient office operations, maintain accurate records, coordinate with internal departments and external vendors, monitor employee attendance through Daily Time Sheets (DTS), and oversee administrative and facilities-related activities.

This role requires strong organizational, communication, and problem-solving skills in a fast-paced environment.

Key Responsibilities
  • Oversee the day-to-day administrative operations of the office.
  • Review, validate, and monitor employees' Daily Time Sheets (DTS), attendance, tardiness, overtime, undertime, and leave records to ensure accuracy before payroll processing.
  • Coordinate with Team Leaders, HR, and Payroll regarding attendance discrepancies and required corrections.
  • Maintain accurate employee and administrative records while ensuring confidentiality.
  • Manage office supplies, equipment, and inventory; monitor stock levels and coordinate replenishment.
  • Coordinate company asset issuance, tracking, return, and documentation.
  • Ensure office facilities are well-maintained, clean, safe, and operational.
  • Provide administrative support to HR, Operations, Finance, and other business units.
  • Ensure compliance with company policies, administrative procedures, and workplace standards.

Qualifications/Requirements

Qualification:

  • Bachelor's degree in Business Administration, Office Administration, Management, Human Resource Management, or a related field.
  • At least 1–3 years of experience in Administration, Office Management, or a similar role, preferably in a BPO or corporate environment.
  • Experience in reviewing Daily Time Sheets (DTS), attendance monitoring, and payroll coordination is highly preferred.
  • Knowledge of administrative processes, records management, and office operations.
  • Proficient in Microsoft Office applications, particularly Excel, Word, Outlook, and PowerPoint.
  • Strong organizational, analytical, and problem-solving skills.
  • Excellent verbal and written communication skills.
  • Ability to multitask, prioritize workload, and meet deadlines.
  • High level of professionalism, integrity, and discretion in handling confidential information.
Preferred Skills
  • Experience with attendance tracking systems, HRIS, biometric systems, or payroll software.
  • Familiarity with company asset management and inventory control.
  • Strong attention to detail with the ability to identify discrepancies in attendance and administrative records.
  • Excellent customer service and interpersonal skills.
  • Ability to work independently and collaboratively with cross-functional teams.
