Job Summary: We are seeking a professional, friendly, and highly organized Front Desk Receptionist to be the first point of contact for all visitors and callers. This role is crucial for creating a positive first impression and ensuring smooth operations at our main office.
The ideal candidate is energetic, has exceptional communication skills, and can manage multiple tasks efficiently in a fast-paced environment.
Key Responsibilities:
- Greet and welcome visitors in a professional manner and direct them to the appropriate person or office.
- Answer, screen, and forward incoming phone calls while providing basic information when needed.
- Manage and organize the reception area, ensuring it remains tidy and presentable.
- Receive, sort, and distribute daily mail, deliveries, and couriers.
- Maintain office security by following procedures and controlling access (e.g., monitoring the logbook, issuing visitor badges).
- Schedule appointments, meetings, and conference rooms as required.
- Perform administrative and clerical duties such as filing, photocopying, transcribing, and faxing.
- Manage office supplies inventory and place orders when necessary.
- Assist in preparing for client visits, and meetings, including coordinating the setup of meeting spaces and arranging necessary refreshments, drinks, or food.
Qualifications:
- Proven work experience as a Receptionist, Front Office Representative, or similar role is a plus.
- Fresh graduates are welcome to apply.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Hands-on experience with office equipment (e.g., Projector , printers).
- Professional attitude and appearance.
- Solid written and verbal communication skills.
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills.
- Multitasking and time-management skills, with the ability to prioritize tasks.
- High school diploma; additional certification in Office Management is a plus.
