Job Summary: We are seeking a professional, friendly, and highly organized Front Desk Receptionist to be the first point of contact for all visitors and callers. This role is crucial for creating a positive first impression and ensuring smooth operations at our main office.

The ideal candidate is energetic, has exceptional communication skills, and can manage multiple tasks efficiently in a fast-paced environment.

Key Responsibilities:

  • Greet and welcome visitors in a professional manner and direct them to the appropriate person or office.
  • Answer, screen, and forward incoming phone calls while providing basic information when needed.
  • Manage and organize the reception area, ensuring it remains tidy and presentable.
  • Receive, sort, and distribute daily mail, deliveries, and couriers.
  • Maintain office security by following procedures and controlling access (e.g., monitoring the logbook, issuing visitor badges).
  • Schedule appointments, meetings, and conference rooms as required.
  • Perform administrative and clerical duties such as filing, photocopying, transcribing, and faxing.
  • Manage office supplies inventory and place orders when necessary.
  • Assist in preparing for client visits, and meetings, including coordinating the setup of meeting spaces and arranging necessary refreshments, drinks, or food.

Qualifications:

  • Proven work experience as a Receptionist, Front Office Representative, or similar role is a plus.
  • Fresh graduates are welcome to apply.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Hands-on experience with office equipment (e.g., Projector , printers).
  • Professional attitude and appearance.
  • Solid written and verbal communication skills.
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • High school diploma; additional certification in Office Management is a plus.
