Job Summary:

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant (EA) to support our Executive Vice President (EVP). The ideal candidate will be a strategic partner, managing administrative duties, optimizing the EVP's time, and ensuring seamless execution of day-to-day operations.

This role requires a high degree of professionalism, discretion, and the ability to manage complex schedules and priorities.

Responsibilities
  • Manage complex calendars, scheduling meetings, appointments, and travel with minimal conflicts.
  • Organize and coordinate executive communications, including taking calls, responding to emails, and interfacing with internal and external stakeholders.
  • Prepare reports, presentations, and other documents as needed for meetings or executive communications.
  • Coordinate logistics for board meetings, leadership offsites, and cross-functional projects.
  • Track key projects, deadlines, and action items to ensure follow-up and completion.
  • Screen and prioritize incoming requests and communications.
  • Manage travel arrangements including flights, accommodations, itineraries, and expense reports.
  • Maintain the highest level of confidentiality in handling sensitive and proprietary information.
  • Serve as a liaison between the EVP and other executives, staff, and external partners.
  • Other tasks that may be assigned from time to time.
QUALIFICATIONS
  • Bachelor's degree preferred; equivalent experience will be considered.
  • 2 years of experience as an Executive Assistant, ideally supporting EVP-level leadership.
  • With proven experience in assisting at an Executive level.
  • Strong organizational skills that reflect the ability to perform as an effective coordinator and prioritize multiple tasks seamlessly, with excellent attention to detail
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners
  • Expert-level written and verbal communication skills
  • Assertive and demonstrates proactive approaches to problem-solving with strong decision-making capability
  • Customer Service experience is preferred
  • Preferrably with an IT background.
