Executive Assistant

We are looking for a highly organized and proactive Executive Assistant to provide comprehensive administrative and operational support to the business owner. This role is central to keeping the business running smoothly — managing day-to-day operations, coordinating with clients and suppliers, and ensuring that the executive's time is used effectively.

The ideal candidate is someone who is detail-oriented, trustworthy, and thrives in a fast-paced environment. You anticipate needs before being asked, communicate professionally, and take ownership of tasks with minimal supervision.

Administrative Support
  • Manage the executive's calendar, schedule meetings, appointments, and site visits
  • Prepare documents, reports, presentations, and meeting materials
  • Maintain organized filing systems — both digital and physical
  • Handle travel arrangements and logistics when needed
Client & Supplier Coordination
  • Liaise with clients, suppliers, and contractors on behalf of the executive
  • Follow up on quotations, purchase orders, and deliveries
  • Assist in preparing proposals and other client-facing documents
  • Coordinate project timelines and ensure deadlines are met
General Support
  • Take notes and prepare minutes during meetings
  • Assist in special projects and business development tasks as assigned
  • Provide general support wherever needed to help the business grow
  • Strong organizational, multitasking, and time management skills
  • Able to manage calendars, coordinate meetings, and handle correspondence professionally
  • Comfortable handling expense reports, invoices, and basic bookkeeping
  • Proactive, resourceful, and able to work with minimal supervision
  • Detail-oriented with a professional and positive attitude
  • Willing to work onsite in Makati
