ADMINISTRATIVE ASSISTANT (HUMAN RESOURCE, TIMEKEEPING AND PAYROLL)
Job Description: One of our subsidiary companies, MACSOL CORPORATION is looking for a highly organized and detail-oriented Administrative Assistant (Timekeeping and Payroll) to join our team. Key Responsibilities
Timekeeping & Attendance Tracking- Monitor daily staff attendance and tracking logs using automated timekeeping systems.
- Review and verify timesheets, work charts, and electronic clock-in/out records for accuracy.
- Identify timekeeping discrepancies and collaborate with managers to fix missed punches or errors.
- Track employee leave types, including vacation, sick leave, and unpaid absences.
- Calculate premium hours, including overtime, and holiday pay.
- Compile and organize payroll data to assist the payroll specialist or accounting team.
- Update payroll records regarding new hires, department transfers, terminations, and rate changes.
- Process benefits deductions, tax withholdings, and mandatory statutory contributions.
- Investigate employee payroll inquiries and resolve issues regarding checks or pay stubs professionally.
- Generate regular payroll reports for the management and finance teams to review.
- Maintain electronic and physical files containing sensitive, confidential employee payroll data.
- Assist with onboarding paperwork by collecting direct deposit details and tax documents from new hires.
- Draft internal communications such as memos regarding timesheet deadlines or holiday schedules.
- Provide general administrative support to the HR and finance departments as needed.
- Bachelor’s degree in Human Resource, Business, Finance, or Accounting.
- 3-4 years of experience in administrative support, data entry, timekeeping, or basic payroll tasks.
- Proven capacity to handle highly confidential personal and financial data ethically.
- Strong ability to prioritize tasks to meet strict, non-negotiable payroll deadlines.
- Excellent communication skills.
