Job Opportunity: Homecare Scheduler Virtual Assistant (Full-Time)

  • Position Details:
  • Type: Full-Time, Remote
  • Schedule: EST Office Hours
  • Rate: $4 USD/hour
  • Key Responsibilities:
  • Manage day-to-day caregiver-client scheduling using our internal systems.
  • Ensure shifts are filled promptly and appropriately based on client needs and caregiver availability.
  • Monitor upcoming shifts and follow up with caregivers to confirm attendance or fill cancellations.
  • Coordinate with the Office Manager to assign newly hired caregivers to client cases.
  • Update and maintain caregiver schedules in ERSP and other authorized company tools.
  • Respond to urgent staffing issues (e.g., last-minute callouts, shift swaps) with quick solutions and proper communication.
  • Communicate with caregivers and clients to manage schedule changes and resolve conflicts.
  • Maintain accurate documentation and reports for all scheduling activities.
  • Use tools such as Go High Level (GHL), RingCentral, and Outlook to track, update, and communicate schedules.
  • Report any critical incidents (e.g., caregiver no-shows, client concerns) to the Office Manager or Administrator promptly.
  • What We’re Looking For:
  • Excellent English communication skills with a neutral accent.
  • Strong multitasking and organizational skills.
  • Prior experience in scheduling (homecare/healthcare setting is a plus).
  • Tech-savvy, with familiarity in tools like GHL, RingCentral, Outlook, and ERSP.
  • Able to work independently, solve problems quickly, and manage time well.
  • Reliable, professional, and committed to supporting the care team and clients.
