About the Role

We are looking for a highly organised and proactive Recruitment Administrator / Executive Assistant to directly support our CEO in managing Australian (onshore) recruitment operations.

This is a dual-role position combining end-to-end recruitment support with executive assistance, ideal for someone who thrives in a fast-paced environment and is confident communicating with Australian candidates and stakeholders.

Key Responsibilities

Recruitment & Talent Sourcing
  • Source candidates through LinkedIn, job boards, and other channels
  • Draft and post compelling job advertisements
  • Create and refine job descriptions based on role requirements
  • Conduct initial phone screenings with Australian candidates
  • Identify and shortlist qualified candidates
Recruitment Pipeline Management
  • Maintain and manage the recruitment pipeline
  • Track candidates across all hiring stages
  • Ensure timely follow-ups on applications and requirements
  • Keep accurate records within ATS or tracking systems
Candidate Coordination & Onboarding
  • Communicate professionally with Australian candidates
  • Schedule interviews and coordinate with stakeholders
  • Send contracts and onboarding documentation
  • Ensure a smooth and positive candidate experience
Executive Assistance (CEO Support)
  • Manage the CEO’s inbox and prioritise communications
  • Maintain and organise the CEO’s calendar
  • Schedule meetings and coordinate appointments
  • Assist with ad hoc administrative and recruitment-related tasks
Requirements
  • Proven experience in recruitment, talent acquisition, or HR support
  • Experience supporting Australian or international clients (preferred)
  • Excellent English communication skills (written and verbal)
  • Confident in conducting phone screenings with AU candidates
  • Strong organisational and time management skills
  • Ability to manage multiple priorities and deadlines
  • Proficiency in LinkedIn, job boards, and ATS platforms
  • Experience in executive or admin support is highly advantageous
