Job Description

As an Executive Assistant, you'll provide high-level administrative support to executives by conducting research, preparing statistical reports, managing information requests, and handling clerical tasks. You'll serve as a key facilitator and communication channel, ensuring smooth coordination between the executive team and the organization while keeping operations efficient, informed, and aligned.

Job Overview

Employment Type: Full-Time
Shift: Night Shift (Mon - Fri, 11:00 PM - 8:00 AM), Weekends Off

Work Setup: Onsite in Pampanga (Hybrid after regularization - 2 to 3 days in office weekly)

Your Daily Tasks
  • Typing reports, memos, letters, and other business documents
  • Facilitating internal communication (e.g., distributing information and scheduling presentations)
  • Completing expense reports for multiple executives
  • Recording, typing, and distributing meeting minutes
  • Managing calendars with a high volume of appointments and events
  • Coordinating daily schedules and organizing key meetings
  • Planning appointments and ensuring timely execution
  • Making domestic and international travel arrangements
  • Managing competing priorities and tight deadlines
  • Prioritizing tasks, handling matters proactively, and following through on projects to completion

Requirements

The Qualifications We Seek

Required Skills
  • 3-5 years of relevant executive or administrative support experience
  • Fluent in speaking, reading, and writing English
  • Strong communication skills and ability to collaborate effectively with teams
  • Keen attention to detail with the ability to identify and correct errors
  • Strong analytical and organizational capabilities
  • Efficient in managing time, handling multiple priorities, and processing administrative tasks
  • Skilled in web and computer navigation
  • Proficient in Microsoft Excel and Outlook (including calendar and contact management)
  • Well-developed time management and organization skills
Minimum Qualifications
  • Flexibility and adaptability in a dynamic work environment
  • Proactive and forward-thinking mindset with a focus on continuous improvement
  • Four-year university degree in Business Administration preferred or equivalent related experience
  • Proficiency in OneNote, PowerPoint, Box, Skype, and Bluebeam/Adobe
  • Strong relationship-building skills with professional presence
