Executive Assistant – Behavioral Health Practice - Tarlac

We are seeking a highly organized and detail-oriented Executive Assistant to support the daily operations of our U.S.-based psychotherapy practice. This position is currently open for remote work but may transition to an onsite role. It is ideal for someone with experience in medical or behavioral health settings, particularly in insurance billing, EHR management (preferably with Simple Practice), and administrative support.

This position is ideal for someone who is self-motivated, proactive, and comfortable managing a wide range of responsibilities across clinical operations, scheduling, communication, and marketing. You will play a key role in ensuring our practice runs smoothly, helping to free up the clinical team to focus on client care.

Key Responsibilities:

  • Manage and maintain the electronic health record (EHR) system (Simple Practice), including: Client onboarding and benefits verification.
  • Insurance claims submission and reconciliation.
  • Tracking sessions, payments, and documentation.
  • Coordinate therapist calendars and manage appointment scheduling.
  • Handle communication via email and phone (inbound and outbound).
  • Track financials and generate monthly reports.
  • Run payroll and handle payment reconciliation.
  • Assist with light marketing tasks such as social media, newsletters, or basic content updates.
  • Support the business owner with operational and administrative tasks, including occasional
  • coordination of rental property or personal admin needs.

Minimum Requirements:

  • Prior experience in a medical or behavioral health practice (U.S.-based preferred).
  • Working knowledge of insurance billing processes.
  • Experience using EHR systems – Simple Practice strongly preferred.
  • Excellent written and spoken English communication skills.
  • Strong organizational skills with high attention to detail.
  • Ability to work independently and handle sensitive information with discretion.

Preferred but Not Required:

  • Familiarity with U.S. healthcare systems and terminology
  • Experience with basic marketing tools or platforms.
