What You'll Do in a Nutshell
Be part of our client's team as an Executive Assistant to the CTO. You'll manage high-level calendars, coordinate travel, support recruitment activities, and streamline daily operations. You'll serve as a key communication bridge across teams and external partners-keeping priorities sharp and everything running smoothly behind the scenes.

What It Takes: Qualifications That Set You Apart
Required Qualifications- 3+ years of experience as an Executive Assistant or in high-level administrative support, preferably supporting C-suite executives
- Exceptional calendar management skills with the ability to prioritize, coordinate across teams, and manage multiple priorities
- Strong written and verbal communication skills, especially in executive-facing environments
- Highly responsive and detail-oriented, with excellent judgment and discretion in handling sensitive information
- Proficient in Microsoft 365 (Outlook, Word, Excel, PowerPoint), Slack, and other modern productivity tools
- Strong organizational and time management skills with the ability to plan ahead and anticipate needs
- Preferred Qualifications
- Familiarity with Concur, Lever or Greenhouse, and DocuSign
- Experience supporting executives in fast-paced, high-growth environments
- Strong eye for visual design and experience creating professional slide decks in Google Slides, PowerPoint, or Keynote
- Experience coordinating recruitment schedules and managing candidate communication
- Calendar & Time Optimization
- Calendar Management: Own and manage the CTO's calendar with an emphasis on prioritization, strategic scheduling, and creating breathing room between engagements.
- Load Balancing: Ensure time is intentionally distributed across meetings, focus time, and breaks to promote sustainability and effectiveness.
- Meeting Triage: Proactively assess meeting requests, manage conflicts, and ensure the CTO is always spending time on the most critical initiatives.
- Travel & Expense Management
- Travel Coordination: Arrange detailed domestic and international travel itineraries, including flights, accommodations, ground transport, and contingencies.
- Expense Reporting: Prepare, submit, and reconcile expense reports on behalf of the CTO in a timely and accurate manner.
- Partner with Finance, Procurement and IT to manage executive and team spend against budget.
- Recruitment Coordination
- Scheduling Support: Serve as a recruiting coordinator for select technical roles, managing interview scheduling and candidate communications.
- Pipeline Management: Partner with recruiting and hiring managers to ensure processes move efficiently and candidates have a seamless experience.
- Candidate Experience: Ensure professional, timely, and clear communications with candidates throughout the hiring journey.
- Communication & Operational Excellence
- Executive Correspondence: Craft and manage professional communication with internal and external stakeholders, including vendors, partners, and board members.
- Out-of-Office Management: Draft and manage OOO messages and automated communications during travel or PTO.
- Slide Decks (Bonus Skill): Support creation and polishing of executive presentations-ensuring slides are visually aligned, sleek, and on-brand.
- Operate with a Team First mentality, collaborating with administrative colleagues and business partners to address company strategic initiatives.
