Job Summary: We are looking for a meticulous and experienced Mortgage Operations Assistant to handle loan files from initial intake all the way through closing, with a primary focus on DSCR and Hard Money loan programs. The ideal candidate brings direct experience using LendingPad, a thorough knowledge of LLC documentation requirements, and a sharp eye for catching and correcting file issues before they ever reach the underwriter.

This role is built for someone who is highly organized, forward-thinking, and confident working autonomously in a demanding lending environment.

Key Responsibilities:

  • Oversee loan files from application receipt through closing, ensuring every file is complete, well-organized, and ready for submission
  • Gather and review borrower documentation including LLC records (Operating Agreements, Articles of Organization, EIN Letters), government-issued identification, purchase contracts, and any supporting materials
  • Validate LLC ownership structures, conduct detailed reviews of Operating Agreements, and confirm alignment between LLC documents, borrower IDs, and loan applications
  • Detect and resolve file discrepancies before they progress to the underwriting stage
  • Confirm borrower identities and ensure all borrower information is consistent throughout the full file
  • Review insurance documentation to verify the correct LLC name, property address, and lender are reflected as Mortgagee or Additional Insured
  • Place and monitor appraisal orders, maintaining follow-up until each is completed
  • Input and manage loan files within LendingPad, upload and organize all documentation, and verify proper file structure ahead of submission
  • Keep borrower stages, pipeline statuses, and activity records updated within GoHighLevel (GHL)
  • Maintain daily communication with borrowers, brokers, lenders, and third-party vendors, following up on outstanding documents, underwriting conditions, and appraisal updates
  • Submit finalized loan files to underwriting and track all conditions through to final clearance

Mandatory Skills:

  • Proven track record processing DSCR and/or Hard Money loans including Fix & Flip, Bridge, and Construction programs
  • Hands-on proficiency with LendingPad for loan file management and data entry
  • In-depth understanding of LLC structures and corresponding documentation, particularly Operating Agreements
  • Ability to assess LLC ownership percentages and flag inconsistencies
  • Demonstrated experience managing the complete loan lifecycle from intake to close
  • Strong organizational capabilities with the ability to handle multiple active files at once
  • Excellent written and verbal English communication skills
  • Dependable, detail-focused, and able to operate independently with minimal direction
  • A sense of urgency paired with disciplined follow-through

Preferred Skills:

  • Familiarity with GoHighLevel (GHL) for CRM and pipeline management
  • Prior experience supporting U.S.-based real estate investors
  • Knowledge of non-QM loan products and alternative lending structures
  • Experience coordinating with appraisers, title companies, and third-party service providers
  • Habit of proactively identifying potential problems and proposing solutions before they escalate
