Client Overview:
Steven and Andrea lead a roofing company and they are looking for a unicorn who can manage incoming and outbound calls, schedule appointments, maintain accurate lead information, and support the team with administrative and project coordination tasks.
Client Requirements:
- Must be able to work 40 hours weekly
- Must be able to work 9am to 5pm Mountain Time (US), Monday through Friday.
- Must have strong English communication skills (written and verbal)
- Must be comfortable speaking English clearly with minimal accent for calls and meetings
- Must have previous experience handling inbound and outbound calls and be comfortable speaking with homeowners, commercial property owners, sales representatives, and insurance companies.
- Must be highly organized, detail-oriented, proactive, and able to manage multiple priorities independently
- Must have a warm, welcoming, and professional phone presence.
- Must be female
Responsibilities/Tasks:

These are the tasks the VA needs to handle independently and confidently from day one:
Customer Service and Appointment Scheduling:
- Answer incoming phone calls professionally.
- Make outbound calls to homeowners, commercial property owners, insurance companies, and other contacts as needed.
- Schedule qualified appointments directly on the appropriate representative’s calendar.
- Respond to basic questions and make sure callers understand the next steps.
Administrative/Project Support and CRM Management:
- Enter leads into the CRM.
- Keep contact information, lead details, notes, appointment information, and next steps accurate and up to date.
- Assign or route leads to the appropriate sales representative.
- Pull property owner lists and organize the information for the sales team.
- Validate residential and commercial property information before passing it to the appropriate team member.
- Maintain organized lead lists, call records, and follow-up information.
- Contact insurance companies to request or confirm information and follow up on outstanding items.
- Contact homeowners to confirm important project details, such as material delivery and scheduled build dates.
- Follow up with customers after service or project milestones to request feedback, ratings, and reviews.
