About the Role

We are looking for a highly organized and proactive Part-Time Virtual Assistant to support our Director and Project Manager with daily administrative and operational tasks. This role plays a key part in ensuring smooth communication, efficient scheduling, and strong client coordination.

The ideal candidate is confident in handling client-facing tasks, managing documents, and working in a fast-paced environment. Experience or understanding in manufacturing or construction-related processes will be highly valued. This is a developing role with opportunities to grow as the business expands.

Key Responsibilities
  • Manage email and inbox organization, including prioritizing messages, flagging urgent items, and drafting responses
  • Coordinate and manage calendars and appointments for multiple team members, ensuring conflict-free scheduling
  • Provide direct administrative and personal support to the Director and Project Manager
  • Conduct client and customer follow-ups via phone or email to gather or confirm information
  • Handle professional client communication with accuracy, clarity, and timeliness
  • Draft business correspondence including emails, letters, and reports
  • Maintain and update tasks, workflows, and project tracking using Monday.com
  • Assist in document handling, filing, and digital organization
  • Take meeting notes and distribute clear action points
  • Prepare summaries and basic reports as required
  • Support general virtual assistant duties as needed
Key Skills & Qualifications
  • Proven experience as a Virtual Assistant or in a similar administrative/support role (preferably with Australian clients or industries)
  • Strong experience in document handling and management
  • Confident in client-facing communication and coordination
  • Knowledge or exposure to construction or manufacturing environments is highly preferred
  • Proficiency in Microsoft Outlook, Monday.com, and other productivity tools
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to manage multiple priorities
  • High attention to detail, professionalism, and confidentiality
  • Comfortable making and receiving client calls
