Job Description:
In this position, You will hold the title of "Admin Supervisor" and you will handle a team to support daily operations and ensure the smooth and efficient functioning of the workplace. This role involves handling administrative tasks, managing office supplies and inventory, and assisting in accommodating guests.You will also help oversee office compliance and coordinate with the building administration regarding maintenance, repairs, and workplace improvements to support the well-being of all employees. This position reports directly to the HR/Admin Manager and plays a key role in maintaining an organized, safe, and productive office environment.
Location: 2251 IT Hub, Chino Roces Ave, Makati City.
Qualifications:
- Bachelor’s Degree in Business Administration, Human Resources, or any related field
- At least 4-5 years experience as an Admin Supervisor
- Must have knowledge in Government Compliances.
- Knowledgeable in PEZA and OSH compliance is a plus.
- Strong organizational and multitasking skills; able to handle a team.
- Good English communication skills, both written and verbal
- Proficient in Google Workspace (Docs, Sheets, Slides, etc.)
- Willing to work onsite in Makati
- Willing to work on flexible schedules, including holidays, weekends, and day, mid, or night shifts
Key Responsibilities and Duties:
- Supervise and delegate tasks to administrative staff to ensure efficient and accurate completion of work
- Oversee day-to-day office operations to maintain a smooth, organized, and compliant workplace
- Manage office facilities, supplies, equipment, and safety standards
- Organize and schedule meetings and appointments, including preparation of minutes when required
- Act as the primary point of contact for internal and external clients, vendors, and government offices
- Handle internal and external communications, including phone calls and correspondence
- Monitor and process government compliance requirements such as:
- Business Permits
- PEZA Office Permits
- PEZA Farm-In and Farm-Out
- General Information Sheet (GIS) filings
- DOLE OSH Compliance
- Oversee end-to-end visa processing for foreign nationals, including tourist visas, 9G working visas, visa downgrades, extensions, and DOLE Alien Employment Permits.
- Prepare and distribute administrative reports and official communications.
- Develop, implement, and maintain office policies, procedures, and filing systems.
- Manage business travel arrangements including hotel bookings, transportation, dinner reservations, and expense reconciliation.
- Provide administrative support during audits, compliance checks, and special projects.
- Coordinate with administrative officers and departments in Makati and other company locations.
