Who The Client Is:
The client is a consultancy that provides services related to environmental management, assessment, and remediation of contaminated sites, including soil, groundwater, and waste.
Role Overview:
We are seeking a proactive and organised Virtual Assistant to support our Environmental Monitoring team in day-to-day administrative tasks. Ad hoc administrative support will also be required across other teams. The ideal candidate is detail-oriented, tech-savvy, with the ability to manage multiple tasks remotely while ensuring seamless communication and task execution.
Key Responsibilities:
- Use Podio.com, a web based platform that organises and connects our projects, CRM, and other processes.
- Prepare and format reports, presentations, and proposals for the team utilising GSuite platform, Google Docs, Google Drive.
- Add new leads, contacts, or projects
- Update existing fields
- Tag and categorise entries
- Import / export data
- Add new leads, contacts, or projects
- Assign and track tasks i.e. set deadlines, priorities, and reminders
- Notify relevant team members of overdue items
- Generate project reports i.e. weekly summaries or milestone reviews
- Organise and maintain shared documents and digital filing systems.
- Provide general administrative support to environmental consultants and field teams.
Requirements
Required Skills and Qualifications:
- Proven experience as a virtual assistant or in a relevant administrative role for an Australian company.
- Experience supporting remote teams.
- Strong written and verbal communication skills.
- High level of proficiency with office software (Google Workspace, Microsoft Office, etc.).
- Basic knowledge of data entry and database management.
- Ability to work independently with minimal supervision.
- Strong organisational and time management skills.
- Comfortable working across multiple teams or departments.

Reliable, trustworthy, and able to handle sensitive information.
